About the team

Cancer Council NSW comprises a number of divisions to deliver our mission, led by an executive team that report directly to the CEO. In addition, the CEO manages a number of internal and external relationships required to achieve organisational strategic objectives, this includes the Cancer Council federation, strategic partnerships with universities and research institutes, community, health and government agencies. The Executive Assistant role sits within the Office of the CEO and is essential in supporting the CEO and broader leadership team to effectively lead the organisation and deliver on our purpose.

About the role:

The role is a key enabler for the Office of the CEO, providing high level executive support to the CEO in a one-on-one working relationship.

The Executive Assistant serves as a liaison point and administration support to the executive management team.

This is a permanent role, ideally for 4 days per week, with the possibility of extending it to 5 days per week.

Key responsibilities of the role:

  • Responsible for a broad range of administrative tasks for the CEO, including managing diary appointments, reports and/or presentations related to the CEO office, arranging detailed travel plans, itineraries and agendas.
  • Plan, coordinate, draft and/or disseminate papers, correspondence, and presentations from the Office of the CEO, and exercise control over quality, accuracy and timeliness.
  • Brief the CEO and provide support materials on issues, meetings, and forward agenda (including diary commitments), which may include those of a sensitive or confidential nature.
  • Coordinate and support Executive team meetings including schedules, agenda preparation, minutes, delegation/oversight of tasks and actions arising.
  • Work closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately and taking responsibility for any actions.
  • Builds relationships crucial to the success of the organisation and manages a variety of special projects for the CEO office.
  • Liaise with external supporters, donors, professionals, consumers and other stakeholders, appraising issues and concerns, and ensuring customised and appropriate responses, in collaboration with relevant teams, such as Communications.
  • Maintain records (electronic & hard copy) and related systems for the Office of the CEO and prepare reports as required.
  • Coordinate the design and content management of material on internal (SharePoint), Dougal and external websites, as related to the Office of the CEO.
  • Manage the financial processes, payment of accounts and any other coordination related to accounts for the Office of the CEO.
  • Coordinate logistics and support for meetings, visits, teleconferences, and workshops as required.
  • Coordinate board and committee requirements on behalf of the CEO, working closely with the Company Secretary to manage actions required for board and committee meetings.

About you

Essential:

  • Extensive experience working with senior management in an Executive Assistant capacity, preferably at CEO level.
  • Superior communication and interpersonal skills with the ability to influence and effectively adapt to competing priorities.
  • Experience in dealing with highly confidential and sensitive information.
  • A well-defined ability to take initiative, problem solve and effectively manage stakeholder expectations.
  • Experience in monitoring account expenditure and providing assistance for budget management.
  • Excellent attention to detail and organisational skills.
  • Demonstrated success in managing conflicting priorities to meet strict deadlines.
  • Excellent diary management skills.
  • The ability to work autonomously with limited supervision.
  • Enthusiastic and highly motivated team player with a focus on action and implementation.
