THE ROLE

The Finance and Operations Officer will work under the direction of the Operations Executive to provide a comprehensive range of financial and operational services to the Capire Executive and the broader team.

The Operations Team oversees all operations of the business including bookkeeping and financial planning, people and culture, business management and processes, the physical and digital work environment, and our B Corp commitments. Operational support is also provided to proposal writing and project delivery teams to win and deliver new business and enhance client satisfaction.

Working closely with the Operations Executive, this newly created role will include:

  • Bookkeeping, including accounts payable and receivable, late payment reminders and escalation of aged debtors to the Operations Executive, reconciling transactions, maintaining financial records in Xero and Excel, and working in partnership with external accountants to complete finance tasks as required.
  • Assisting the Operations Executive to prepare monthly payroll by ensuring staff information is up to date, exporting reports from the project management system, and creating draft pay runs and superannuation payments for review.
  • Provide support to the Client Services team by coordinating new business opportunity systems, contributing to proposal writing teams and response coordination and identifying opportunities to enhance client satisfaction.
  • Maintain data integrity in the CRM and the project management system through regular updates and periodic audits for non-compliance.
  • Project support including preparing workshop materials, creating documents, data entry, logistics and event management. From time to time, this role may attend events as part of a project delivery team.
  • Work in partnership with external ICT support to provide a well organised and functional digital working environment by maintaining hardware, software, and subscriptions and supporting troubleshooting.
  • Provide operational support to the Operations Executive, the CEO and the wider team to ensure effective and efficient operations of the business. This includes managing day-to-day administration requirements and correspondence, identifying improvements to procedures and systems, maintaining equipment and supplies, taking a leading role in staff wellbeing initiatives and other tasks as required.
  • Liaise with customers and suppliers via phone, email and sometimes fact to face, in a professional and timely manner.
  • Contribute to achieving people and culture objectives, including onboarding new team members and contributing to the management of the casual team.
  • Play a key role in achieving B Corp recertification through achieving impact goals, meeting B Corp requirements and contributing to the recertification process.

WHO ARE WE LOOKING FOR?

  • An experienced finance and operations professional with a Certificate IV in Accounting and Bookkeeping (or similar qualification), demonstrated skills in Xero and intermediate to advanced skills in Excel. Experience with project management systems and/or CRMs will be highly regarded.
  • A highly organised and proactive person who takes initiative within the scope of their role to prioritise their work and find opportunities for efficiency and improvements. A disciplined approach to achieving deadlines is essential, in particular month end close off.
  • A confident communicator and team player who can adapt their role to the situation – everything from providing support to team members with matters big and small, to coordinating others to achieve objectives, and leading initiatives to improve business efficiency.
  • A calm, drama free person who can maintain the highest levels of confidentiality is essential.
  • A person who is motivated to do good in the world and work to a high ethical standard.
  • A motivated professional driven to delivery exceptional operational services with a focus on team culture, and internal and external stakeholder satisfaction.

The salary will be negotiated with the successful applicant based on level of experience. An indicative full-time equivalent (FTE) salary range is between $60 to $70k plus superannuation. This will be pro-rated as a part-time appointment.

The role is 25 hours per week, five hours per day with start and finish times negotiable. We offer a flexible working environment with the opportunity to work in the office or at home.
