This is an exciting role for a career EA to provide executive support to the CEO of Climate Action Network Australia (CANA) and the Director of Solutions for Climate Australia.

Solutions for Climate Australia is a program of CANA that engages with all federal political parties to develop strong policies on climate. The project advocates for durable, decisive solutions which address the economic, environmental, security and social impacts of climate change in Australia and our region.

About the Role

The successful candidate will provide executive support to the CEO of CANA, and the Director of Solutions for Climate. This role is 3 days per week (22.5 hours).

Your responsibilities could include, but are not limited to:

  • organising the Director and CEO’s diary, scheduling meetings, arranging domestic and international travel (noting we have an engaged travel agent for efficiency),
  • sending correspondence on behalf of the Director and CEO,
  • taking meeting minutes and actioning items at key meetings,
  • email inbox management,
  • proactively working with the Director and CEO to ensure their administration is organised and up to date,
  • and other general duties supporting the work of CANA and the Solutions for Climate Program.

The contract is for one year initially, with a view to extend.

In addition to on the job learning and continuous professional development, all staff have access to a generous professional development budget.

Role Responsibilities

  1. Ensure the Director and CEO’s time is managed effectively: Managing the daily calendars of the CEO and Director, including coordinating meetings and liaising directly with stakeholders
  2. Manage internal and external meetings; arranging face to face, tele/video conference meetings, arranging travel, accommodation and transfers as required
  3. Screen and prioritise communications and emails, taking responsibility for correspondence where possible
  4. Provide secretariat functions for senior meetings to ensure highly effective meetings. This includes with Parliamentarians, senior stakeholders in other climate organisations and campaign strategy meetings with senior members of the climate movement. Secretariat responsibilities include: setting up meetings; strategically coordinating and setting agendas; managing attendance; taking minutes; and identifying, recording and following up on actions.
  5. Support the CEO and Director with administrative support including internal finance documentation
  6. Support the CEO and Director on preparation of presentations, meeting notes, and reports
  7. Provide ad hoc support to the Director and CEO, such as research, stakeholder engagement, sending correspondence on their behalf or reviewing papers and communications.

Skills and Experience

  • Highly autonomous and experienced in working from home or separately from your manager and team
  • Prior experience working as an Executive Assistant is highly desirable
  • Excellent written and verbal communication skills
  • Excellent organisation and time management skills
  • Experience setting up meetings, coordinating diaries and/or providing secretariat functions such as setting meeting agendas, taking minutes and following up on actions
  • Strong team player with effective interpersonal skills
  • Ability to proactively problem-solve and to manage competing priorities
  • Tech savvy - competent to advanced in Google Suite and ideally have existing knowledge of Slack

Location

CANA is a flexible workplace with work-from-home and office options and flexible working hours. For this role you can work from anywhere on the East Coast of Australia, however we would particularly encourage applicants based in Newcastle (where the CEO is based) or Maleny/Brisbane (where the Director is based). There is the option to work in a communal workspaces with team members in Sydney and Melbourne.
