About the role

The Unit Coordinator/Senior Trainer, BeSafe, will be responsible for coordinating the delivery of quality and compliant Worksafe Victoria OHS training. Also promoting the right of Workplaces to set up OHS structures (DWGs) and provide ongoing triage support and advice to HSRs trained by the unit.

This position is also responsible for providing direction and expertise to the BeSafe Trainers to ensure an efficient, effective, and informative work environment. This role is pivotal in supporting the development and strategic direction of the BeSafe team. The incumbent must maintain and work within the Worksafe Victoria regulatory settings. The Unit Coordinator/Senior Trainer, BeSafe has overall administrative and educational responsibilities to ensure the ongoing delivery of OH&S training programs to regional Victoria. The Unit Coordinator/Senior Trainer will be required to provide HSR Training occasionally as required when Trainers are unavailable or on leave.

The Ballarat Regional Trades and Labour Council Incorporated is the second oldest Trades and Labour Council in the world, founded in 1883 by the Ballarat Eight Hour Committee, established in April 1856 on Bakery Hill. Trades Hall helps organise activities and campaigns with, and on behalf, of affiliated unions.

As a newly established unit within the BRTLC – BeSafe promotes OH&S education and training by facilitating access to courses in occupational health and safety. The BeSafe Unit promotes the principles of OH&S protection set out in s 4 of the Act. S 4(5) states that employees are entitled and should be encouraged to be represented in relation to health and safety issues as a principle of health and safety protection.

Key Responsibilities

  • Coordinate, oversee, and support the delivery of HSR training to regional Victorian Communities. Assist in the provision, development, implementation, monitoring, and reviewing processes to ensure quality and compliant delivery of services. Deliver HSR Training occasionally when Trainers are unavailable or on leave.
  • Manage the efficient administration of all financial processing, including verification of invoices and monitoring of budgets.
  • Provide efficient and effective administration of OH&S training programs, including the maintenance of records. Ensuring that Trainers have all materials and equipment to deliver the training programs in compliance with WorkSafe Victoria.
  • Manage and coordinate the development and production of accurate reports for internal and external parties, including information required for accreditation purposes, assessment, and WorkSafe reporting and auditing.
  • In collaboration with the BeSafe Team, oversee the establishment of OH&S-designated workgroups in regional and remote workforces.
  • Develop, maintain, and establish external relationships to facilitate and promote OHS representatives within the regions.
  • Contribute to the review of procedures and business processes along with the interpretation of policies in relation to work-integrated learning activities, ensuring compliance with WorkSafe Victoria requirements.
  • Supervise, develop, and provide direction to support BeSafe staff to achieve objectives
  • Reflect and embed the BeSafe Unit strategic plan, operational purpose, priorities, and goals.

Level of supervision and responsibility

The Unit Coordinator/Senior Trainer reports to and receives broad direction from BRTLC Executive. The position is responsible for providing administrative, general direction and expertise to the BeSafe team to ensure that efficient and effective service is provided. The Unit Coordinator/Senior Trainer BeSafe is responsible for interpreting policies and procedures and ensuring compliance with relevant legislative and course requirements.

The position is responsible for reviewing and implementing processes and systems within the team and leading a culture of continuous improvement and responsive customer service. The Unit Coordinator/Senior Trainer BeSafe will promote public awareness and facilitate discussion on occupational health, safety, and welfare issues in regional and remote Victoria. The role requires the Incumbent to promote the importance of education and training in relation to OHS.

The Unit Coordinator/Senior Trainer BeSafe will manage, monitor, and provide OHS advice to all BeSafe staff. The role involves supervising and providing direction to other BeSafe Trainers. In addition, the role is required to support and, where applicable, liaise with Worksafe Victoria to achieve OHS training goals.

Position and organizational relationships

The Unit Coordinator/Senior Trainer Be Safe reports to the BRTLC Executive. The position is responsible for coordinating staff within the BeSafe team. The position will also work closely with other staff to deliver quality OHS Training for clients.

The Unit Coordinator/Senior Trainer, BeSafe, is responsible for developing and maintaining functional relationships with key external and internal stakeholders in delivering OHS training activities. The position plays a significant role in the development and strategic direction of the BeSafe unit. The role contributes to facilitating the ongoing and sustainable success of delivering quality OHS training and services to all clients.

Key selection criteria:

Applicants must demonstrate they are able to undertake the inherent responsibilities of the position as contained in the position description and are able to meet the following key selection criteria:

Training and qualifications

  • Completion of a degree with subsequent relevant experience; extensive experience and specialist expertise or broad knowledge in OH&S and administrative fields; or  an equivalent combination of relevant experience and/or education/training
  • Completion of A diploma with subsequent relevant work experience or
  • Extensive Industry experience of more than two years related to OHS
  • Certificate IV in Training and Assessment or higher

Key Selection Criteria - Experience, knowledge, and attributes

  • Demonstrated knowledge in the provision of OHS training programs and/or professional experience activities with the capability to gain knowledge of relevant WorkSafe Victoria policies and procedures across the sector.
  • Proven problem-solving, time management, and organisational skills, including the ability to prioritise workloads and meet tight deadlines.
  • Demonstrated experience and organisational ability in an environment committed to providing high-level OHS training and exceptional customer service.
  • Demonstrated ability to document processes and improve work practices with a commitment to continuous improvement, including the undertaking of audits and workplace inspections.
  • Demonstrated communication skills and the ability to develop professional relationships with people from Industries and businesses.
  • Demonstrated ability to coordinate and support staff in achieving quality and timely outcomes, as well as the ability to work cooperatively as a member of a team.
  • Well-developed and established administrative experience with advanced IT skills to utilize a full range of software packages and systems.
  • Demonstrated compliance with WorkSafe Victoria regulations and legislations.
  • Liaise with WorkSafe Victoria.
  • Liaise and work with the BRLTC Executive to provide regular reports and updates on OH&S Training Schedule.
