About this Position

Reporting to the People Operations Manager, the Hub Community Co-ordinator plays a pivotal role in creating and maintaining a welcoming, productive, and safe environment for all team members at the Beyond Blue office known as 'the Hub’. This role involves day-to-day operations management, providing excellent employee experiences, and ensuring compliance with health and safety regulations.

This role is for someone who prefers working on-site. Candidates seeking part-time (job-sharing arrangements) are welcome to apply for the position.

The role

The key duties of the role include:

Hub Engagement and Experience

  • Serve as the host and first point of contact for all team members and visitors, ensuring that they feel welcome and supported within the Hub.
  • Manage phone-calls, in-boxes and receive deliveries.
  • Foster a collaborative, inclusive, and dynamic culture within the Hub through community-building initiatives, and regular touchpoints with team members.
  • Champion the Beyond Blue Ways of Working (WOW) by walking the walk and talking the talk. Inspire others to adopt WOW.

Office Operations Management

  • Manage office supplies and equipment, ensuring adequate stock levels and functionality. Ensure expenditure does not exceed annual budgeted amount.
  • Oversee facility maintenance and repairs to create a safe and efficient working environment.

Health, Safety and Compliance

  • Manage workplace health and safety protocols, including emergency preparedness and response.
  • Co-ordinate on-site first aid training. Active participation in WHS Committee.
  • Complete quarterly Work health and safety reporting relating to the Hub.

Administrative Duties:

  • Support the Office of the CEO with administrative tasks, including reporting on Hub occupancy, preparing for Board Meetings, and managing storage space.
  • Assist in budget management for the Hub, including tracking expenses and identifying cost-saving opportunities.
  • Support the People and Culture team with various administrative tasks (eg preparing employee letters, posting job ads and scheduling interviews).

About you

To be successful, you will have:

  • Experience dealing with all walks of life; senior executives, government officials, employees, contractors, vendors, service providers and community members.
  • Proven experience in office or community management, hospitality, or a similar customer service role.
  • Strong organisational and multitasking skills with attention to detail.
  • Basic knowledge of health and safety legislation, regulations, procedures, and initiatives, including first aid certification (or willingness to learn and obtain).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent communication and interpersonal skills with a passion for community building.
  • Technically savvy in MS Office suite of products. Ability to quickly learn new software systems.
  • Collaborative approach to working with cross-functional teams
  • Strong organisational skills with the ability to manage multiple tasks simultaneously
  • Thrives in a dynamic environment and bringing along others.
