The Bendigo Rainbow Hub is a lived experience-led mental health and wellbeing service dedicated to supporting neurodivergent and LGBTIQA+ people across central Victoria and beyond. Our Mental Health Hub provides safe, affirming, and inclusive care to clients of all ages, identities, and backgrounds. We work alongside community to reduce stigma, improve access to mental health support, and build a Bendigo where every rainbow person can thrive.

About the role

As our Medical Receptionist, you'll be the warm and welcoming first point of contact for everyone who walks through our doors — clients, families, clinicians, and community members. This is more than an admin role: you set the tone for a safe, inclusive experience and play a vital part in making sure our clients feel respected from the moment they arrive.

You'll work closely with our clinical team and practice manager, with plenty of variety across the day and genuine scope to shape how reception runs.

Key responsibilities

  • Greet clients and visitors warmly and respectfully
  • Manage phone, email, and in-person enquiries with discretion and care
  • Schedule, confirm, and reschedule appointments
  • Maintain accurate client records in Halaxy (we will be migrating to BP Premier later in the year)
  • Process Medicare, NDIS, and private billing
  • Provide administrative support to clinicians
  • Keep the clinic welcoming, tidy, and safe
  • Triage urgent or distressed calls and escalate appropriately
  • Maintain strict confidentiality at all times

About you

  • Reception, administration, or customer service experience (mental health or healthcare setting an advantage)
  • Genuine cultural competency and respect for LGBTIQA+ communities and intersectional identities
  • Warm, calm, and professional communication — especially in sensitive situations
  • Strong organisation skills and the ability to juggle competing priorities
  • Confident with technology and quick to learn new systems
  • Commitment to confidentiality and professional boundaries
  • Current (or willingness to obtain) Working with Children Check and National Police Check

Desirable

  • Mental Health First Aid certification
  • Lived experience as part of the neurodivergent and/or LGBTIQA+ communities
  • Experience with Halaxy
  • Experience with Best Practice / BP Premier
  • Familiarity with Medicare and NDIS billing for mental health clinicians
