About the Role
The Operations Manager plays a pivotal role in strengthening the systems, processes, and projects that enable Belongside Families to deliver high-quality programs at scale. As we grow, this role ensures our back-end operations are robust, efficient, and aligned with our strategic priorities.
Working closely with the CEO and senior team, the Operations Manager will lead key operational initiatives, manage organisation-wide systems and digital tools, oversee contracts and internal projects. This is a hands-on role with strategic oversight, ideal for someone who thrives on turning complexity into clarity and is driven to build the internal infrastructure that enables long-term impact for families of children with disability.
Key Responsibilities
Strengthen organisational systems and strategy
- Strengthen the systems, tools and processes that underpin effective delivery, growth and governance
- Lead strategic improvements to internal operations that reduce duplication and support long-term sustainability
- Maintain and update internal policies, procedures and registers to ensure strong governance and compliance
- Drive cross-functional collaboration through clear workflows, project planning and internal communications
Lead projects and manage contracts
- Oversee the planning, implementation and evaluation of key operational projects (e.g. CRM, automation tools)
- Manage contracts, MoUs and agreements with partners, consultants and vendors, ensuring timelines, budgets and compliance requirements are met
- Track milestones and deliverables across organisational initiatives and report progress to the CEO
Support people, culture and onboarding
- Coordinate onboarding, access and resourcing for new staff, contractors and volunteers
- Maintain systems for licenses, platforms, tools and permissions
- Contribute to a positive, inclusive and well-supported team culture
Optimise digital tools and data management
- Champion the use of digital tools and platforms to support collaboration, planning, and workflow efficiency
- Oversee data and file management systems, ensuring secure access, backups and compliance with privacy and information management standards
- Identify opportunities to automate repeatable tasks and reduce manual effort across teams
About You
Essential:
- Experience leading operational projects, systems or business improvements
- Strong organisational and problem-solving skills, with the ability to streamline workflows and manage competing priorities
- Strong digital literacy across Microsoft 365, SharePoint, CRMs, and collaboration tools (e.g., Asana)
- Excellent communication skills, both written and verbal
- A collaborative working style and comfort working independently within a small, fast-paced team
- At least 3 years of experience in operations, systems management or similar roles
- A commitment to equity, inclusion and the social model of disability
Desirable:
- Experience in a not-for-profit, social impact, or disability/community services organisation
- Experience managing contracts, MoUs or vendor relationships
- Familiarity with compliance, governance, and risk management frameworks
- Knowledge of automation tools (e.g. Power Automate, Zapier)
- Lived experience as a parent or carer of a child with disability, or personal connection to our purpose
Work Arrangements
- Permanent part-time role, 22.5 to 30 hours per week (0.6 – 0.8 FTE)
- Flexible working hours that can be adapted to suit your availability
- Primarily work from home, with the option to work from our Marrickville office 1–2 days per week (preferred but not essential)
- Occasional evening work may be required
- Some travel within Sydney may be required for in-person meetings or events
- Commence June/July 2025
