Role responsibilities

The Senior Executive Assistant will report to the Group Executive, Legal, Governance and Risk, as well as be a key partner across the broader Legal, Governance and Risk team.

This is a critical role providing executive support to the Group Executive as well as coordinate ongoing strategic projects. Building effective relationships and facilitating communications and workflows within the immediate team and broader stakeholders across the organisation will be an important element to this exciting and fast-paced role.

  • Schedule a busy diary, coordinate internal/external meetings on behalf of the Group Executive – prioritising as needed to manage workload.
  • Organise Executive Team forums, Departmental team meetings, other meetings and related forums chaired or convened by the Group Executive – be the central coordination point of the Department and foster a positive team culture (including planning development and team building activities).
  • Coordinate and manage Executive and Departmental business planning, deliverables and reporting.
  • Be a driving force across multiple key projects for the Group Executive and the Department, with the aim of improving internal customer service and Departmental efficiency - maintaining effective communication to ensure deadlines are met and the relevant stakeholders are kept informed.
  • Support the creation and submission of information, requests, reports, briefings, and related documents on behalf of the Group Executive.
  • With a high level of customer service, provide administrative support to the Group Executive and broader team and support a high performing and collegiate culture within the team.
  • Collaborate closely with the Company Secretariat Assistant to provide a continuous level of service delivery to the Department and the business.

Essential Requirements

The successful candidate will be driven, have a strong sense of proactivity and the ability to anticipate their Executive’s needs. They will be a natural collaborator, communicator and thrive in a dynamic environment.

  • Robust experience in a similar senior Executive support role (providing end-to-end meeting support, drafting correspondence/reports as well as broader administrative and project support to an Executive and their team), for in-house Legal or professional functions.
  • Excellent communication skills with the ability to build relationships and effectively liaise with stakeholders at all levels.
  • Strong coordination, organisation and time management skills – with the ability to oversee multiple projects and timelines successfully, without losing attention to detail.
  • A high level of discretion and confidentiality when accessing sensitive information.
  • Advanced proficiency across the Microsoft Office suite and other software applications (workflow automation/technology transformation experience will be highly regarded).
  • Tertiary level qualifications in a relevant area such as business administration.
  • The successful candidate must successfully undergo a National Police Check and be vaccinated against COVID-19 as per organisational policy.
