Summary

Working with the Board, other staff, volunteers, relevant consultants and key partners, the Coordinator oversees BCNSW activities and organises reporting to the Board. S/he manages the office, information systems and other enabling infrastructure and supports staff and volunteers, and is a point of contact for the public, members and partner organisations.

Role

Oversight and Reporting of BCNSW Activities

  • In collaboration with other staff and Board, developing a calendar of BCNSW activities (including events and administrative tasks) and monitor its implementation.
  • Coordinating reporting to the Board, including reports from Program Managers, and produce the annual report.

Managing BCNSW Office, Systems and Other Enabling Infrastructure

  • Working with Board, other staff and consultants, ensure that BCNSW and its staff have access to the infrastructure needed to support their activities, including:
    • a well-functioning office
    • up to date databases and information systems (currently in-house CRM), covering volunteers, member organisations and external contacts
    • financial and other systems, including reviewing expenses, approving invoices and online banking.
  • Assisting Program Managers with organising seminars and training workshops
  • Maintaining the office condition and arrange necessary repairs liaising with managing agent.
  • Reviewing office policies and procedures and keeping them up to date.

Supervising and Supporting Staff and Volunteers

  • Recruiting, inducting and supporting new volunteers.
  • Supporting all volunteers, and supervising those not responsible to Program Managers

Relating to Public, Members and Partners Organisations

  • Acting as the welcoming face of the Buddhist Council, responding to enquiries from the general public, members and partner organisations and maintaining friendly relationships with key partners.

Other duties as requested.

Requirements and skills

  • Understanding of Buddhism and commitment to Buddhist principles.
  • Experience as an Office Manager/Coordinator.
  • Experience with supporting other staff and volunteers and coordinating their work
  • Proficiency in MS Office and familiarity with database management, CRMs and email marketing software
  • Excellent time management skills and ability to multi-task
  • Attention to detail and practical problem solving skills
  • Excellent interpersonal skills, and written and verbal communication skills
  • Strong organisational, planning and problem solving skills
  • A high level of initiative and the ability to work unsupervised
  • A creative mind with an ability to suggest improvements

Accountabilities

  • Reports to the Chair of the Board of the Buddhist Council
  • Works closely with the managers of the Chaplaincy, Special Religious Education and any other programs
  • Supports all Buddhist Council volunteers, and supervises those working in this area of operation.
