About your new role

Reporting to the Executive Assistant/Office Manager this position is integral to Support Services and is responsible for undertaking the reception duties for Baptistcare Support Services. This role is required to greet and assist visitors, receive telephone calls and direct them appropriately, and to undertake a variety of clerical duties to assist with the functioning of the office promptly and professionally.

This will include being the first point of contact for incoming calls and visitors entering the facility, procurement of resources, data collection/entry, and providing customer support.

Duties

  • Greets visitors to head office and announces or directs them appropriately
  • Ensures all visitors to head office are signed in
  • Receives incoming telephone calls and directs to relevant head office or facility staff, taking messages when appropriate
  • Daily sorts, opens, and distributes all incoming mail
  • Prepares and records outgoing mail for daily courier collection
  • Receive and distribute all incoming deliveries
  • Prepares and places orders for supplies as directed by the Office Manager
  • Arrange and act as a contact point for all accommodation and travel bookings
  • Manage head office pool car bookings
  • Other duties as directed by the EA/Office Manager

Skills and Experience

  • Alignment to our Values and ‘Love to See’ behaviours
  • Be available Monday – Friday
  • Previous experience in an administration or reception role
  • Demonstrated proficiency in a wide range of IT applications, including Microsoft Word and Excel
  • Commitment to providing a customer centric approach
  • Ability to pass a National Police Check
  • Relates to the aged care population with empathy, understanding, and respect
  • Demonstrated effective interpersonal and communication skills (written and verbal)
  • Previous administration experience is well regarded 
  • Covid-19 and Flu Vaccination

  • Part-Time
  • Wednesday, Thursday and Friday
  • 8:30am-4:30pm
