About The Role

The Front Office Coordinator’s role is a dynamic blend of front-facing service and behind-the-scenes coordination and administration. Working mainly on the front desk, the position serves as the first point of contact for students, staff, and stakeholders—providing a welcoming, helpful, and solutions-focused presence at Arc Reception. As well, the role supports the overall functioning of the front office by overseeing systems, supplies, and processes that keep Arc’s spaces running smoothly.

This structure allows the role to remain grounded in student-facing experiences while ensuring the front office continues to be a high-functioning, well-resourced, and welcoming hub for the wider organisation.

Key Tasks & Responsibilities:

  • Reception & Customer Service
  • Represent Arc by delivering exceptional customer service through face-to-face and online communications.
  • Demonstrate and promote a strong passion for student life and engagement on campus.
  • Manage internal and external bookings for Arc’s rooms, resources, and services.
  • Process payments (both EFTPOS and invoices) for Arc initiatives including Membership, Volunteering, and Clubs.
  • Maintain administrative systems such as mail handling, cash flow records, secretarial allowances, and building access permissions.

Front Office Oversight & Administration

  • Maintain a high quality, practical office space that evolves to meet the needs of students and stakeholders.
  • Devise and implement processes to improve overall office functioning
  • Oversee the restocking and ordering of office supplies, equipment, and first aid materials to ensure Arc’s spaces remain safe, functional, and well-resourced for all teams.
  • Supervise a team of casual Student Support Officers (casual receptionists) which includes:
    • Recruitment, training, rostering and oversight of their day-to-day tasks.
    • Mentoring in customer service delivery, system improvement, and communication.
  • Provide regular administrative and coordination support to Arc’s Volunteering & Wellness departments.

Qualifications, knowledge and experience

Selection Criteria

  • Passion for student life, student experience and student support.
  • Strong interpersonal skills and positive attitude with an emphasis on the ability to liaise with a wide range of people from all levels within, and external to, Arc.
  • Demonstrated experience in administration and customer service.
  • Strong communication skills, both verbal and written, with a high level of accuracy and attention to detail.
  • Demonstrated experience in maintaining a high level of discretion, integrity and confidentiality when dealing with sensitive issues.
  • Willingness to work independently and in a team environment.
  • Demonstrated flexibility, including the ability to adapt to and work effectively within a variety of situations and attend after hours team meetings.
  • Strong ethical and professional work attitude.
