Job Summary

Provide administrative support to organisers, officers, and other staff.

This work may include, but is not limited to assisting staff with administrative enquiries relating to office functions managing office services by ensuring office operations and procedures are organised, planning, coordinating and managing events and workshops, arranging travel and accommodation, booking meeting rooms, preparing training course material, maintaining files, note taking and record keeping, database maintenance, tracking organisational goals, campaigns and priorities, and providing customer service support and information to members.

Preparation of documents, including formatting, proofing, and editing for errors, using MS Word and Excel, as well as a working knowledge of MS Office and capacity to learn to operate other computer systems, is required.

General Duties

In accordance with Branch procedure, protocols, and policies, provide administrative support to the officers of the AMWU in a competent manner and as directed.

  • Prepare correspondence, mail-outs, reports, research, agendas and minutes and other documents using MS Office and other systems, as requested.
  • Provide clerical assistance such as filing, photocopying, binding, faxing, archiving.
  • Update and maintain membership databases and other records as required.
  • Arrange travel and accommodation reservations and other required bookings.
  • Assist with the preparation and maintenance of manuals, course materials, handbooks, flyers, records, invoices, and other documents as required.
  • Provide customer service liaison to members and handle enquiries over the phone, via correspondence, and in person.
  • Coordinating and managing events and workshops
  • Assist other administrative and membership staff as required.

Selection Criteria

  • Basic knowledge of administrative and clerical procedures and systems such as word processing, filing, designing forms, data entry, and other office procedures.
  • Excellent written and verbal communication skills and good interpersonal skills to handle extensive liaison with AMWU personnel, employers, members, and other unions.
  • Excellent time management and organisational skills, with the ability to work as part of a team, to deadlines and at short notice.
  • Intermediate MS Office skills.
  • Ability to research and obtain information from a variety of sources.
  • Ability to work well in a small team environment and undertake a variety of tasks to ensure the work meets and anticipates the needs of officers and officials.
  • Methodical, accurate, and member-focused approach to work.

A basic understanding of or interest in the workings of government, unions, and the industrial relations system would be advantageous.

Salary: $61,513.40 plus super and one RDO a month.
