THE ROLE

The AMWU National Office based in Carlton has a full-time or part-time (minimum 3 days/week) vacancy. We are looking for a dynamic person to join our National Administration Team.

The National Administrative Assistant will provide general administrative support to national teams of the union based in Melbourne. They will work as part of a broader administration team across the union Sydney and Melbourne national offices, providing support for a wide range of union activities.

Responsibilities: 

  • Support the National teams based in Melbourne, including organising travel, accommodation, venue bookings and catering.
  • Provide back-up support to the Executive Assistant to the National President.
  • Prepare agendas, meeting papers and training materials as required.
  • Assist with event coordination and member engagement activities as required.
  • Book travel and accommodation for staff and officers.
  • Monitor a shared email inbox and allocate to relevant officials and officers.
  • Engage with external and internal stakeholders, including AMWU Branch Officials and Officers, AMWU members, other Unions and peak bodies, employer representatives, Fair Work Commission, AEC, and other relevant government bodies and authorities.
  • Support routine administrative functions, including research, filing, and data management.
  • Complete ad hoc tasks and maintain flexibility to meet the needs of the Union.

SELECTION CRITERIA

Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneDrive).
  • Strong communication skills (both verbal and written).
  • Excellent interpersonal skills, able to engage with members and stakeholders.
  • Strong interpersonal skills with a professional phone manner.
  • Excellent time management and organisational skills.
  • Resilience and ability to adapt to changing tasks and deadlines.
  • Ability to prioritise competing work priorities effectively.
  • Attention to detail, ensuring all tasks are completed thoroughly.

Experience:

  • Prior experience in a secretarial or administrative role.
  • Experience in event coordination, travel bookings, and general administrative support.
  • Familiarity with union principles or a genuine interest in unions. 

The following is highly regarded:

  • Previous experience working in a trade union or membership-based organisation.

WHAT WE OFFER

  • Ongoing position with option for full time or part time hours
  • Salary: Grade 5 - $78,473.20 per annum (full-time)
  • Superannuation: 1% above SGC
  • 25% annual leave loading
  • Conditions per AMWU Staff Enterprise Agreement 2022-25
