About the role
The Operations Coordinator is responsible for the administrative details of the organisation. They report directly to the CEO and work 1.5 days (i.e. 11.25 hours) per week.
In a small but impactful organisation, you play a key role supporting the team by managing the administrative and operational side of our work, including grant-funded projects, training workshops and consultancy work. The ideal candidate is passionate about racial justice and has great organisational and communication skills. You are flexible and not afraid of a challenge, and can manage everything from payroll, online sales, workshop bookings and organisational procedures, but are also able to help drive the growth of the organisation by undertaking sales and marketing activities relating to our projects and training products.
The Operations Coordinator will undertake the following tasks:
- Book-keeping and associated paperwork, including processing payroll, reconciling bank accounts and ensuring budgets and other relevant record keeping is kept up-to-date.
- Organising logistical details related to workshops, meetings, events and field work, e.g. managing online sales/bookings, organising venues, travel, accommodation and printing.
- Virtual office management and organisational procedures including recruitment and onboarding of staff and volunteers.
- Assist with sales and marketing activities relating to ATN’s training products including promotion on social media, e-newsletters, and management of client/stakeholder relationships.
- Assist in monitoring, reporting and evaluation of projects when required.
- Assist with the organisation’s public communications when required.
Essential selection criteria:
- Experience in a similar role creating/managing administrative processes and systems.
- Prior work experience in updating the financial records of a small business or not-for-profit using Xero (or similar) including undertaking quarterly bank reconciliations, invoicing, and processing payments.
- Confidence in management accounting / budgeting.
- Strong verbal and written communication skills. Ability to create content for social media and/or e-newsletters.
- Excellent attention to detail, and ability to manage several tasks at once.
- Self-motivated worker who shows initiative and can solve problems creatively.
- Genuine commitment to racial and social justice. Critical understanding of racism in an Australian context.
Desirable selection criteria:
- Previous experience in management of staff or volunteers.
- Experience using marketing tools (e.g. Mailchimp) and/or CRM tools.
Position details:
- The Operations Coordinator will work 1.5 days per week (i.e. 11.25 hours per week or 0.3 FTE) from home, with regular face-to-face team catch-ups in Greater Sydney required (approx. once per month).
- This position will commence in August/September 2022 (to be negotiated) and conclude on 30 June 2023, with the possibility of an extension dependent on grant funding.
- Remuneration: the Operations Coordinator will be paid at level 4, pay point 1 (SACS 4.1) of the Social, Community, Home Care and Disability Services Industry Award (“SCHADS”), plus leave loading and superannuation.
