- Job status: Part-time or full-time (negotiable), fixed term contract
- Starting salary: Level 3 - Level 4 ($68,724 - $75,597 pro rata) depending on experience and qualifications, plus 11.5% super
- Location: Australian Greens Victoria State Office, 1/50 Queen Street, Melbourne CBD

- Position ends: Four weeks following the next Federal Election
About this role
The Victorian Greens are looking for a Secretariat Support and Office Coordinator to join our team in State Office, the heart of our HQ, to support important administrative processes managed by member-led panels and keep our office running smoothly.
As one of the main points of contact for many stakeholders across the state, we need this person to attend to responsibilities with a flexible and can-do attitude!
Key tasks will vary from week to week. In addition to providing secretariat support, this role will look after the overall office, coordinate meetings and events, support office volunteers and processes, and will be the key to making our spaces as ✨fabulous✨ as possible for those who use them. Our Secretariat Support and Office Coordinator is expected to work on-site in our Queen Street office.
About the Victorian Greens
Over the course of the last four decades, the Greens have become the third force in Australian politics, with members elected to represent their communities at every level of government. We are a grassroots party that relies on the support of many thousands of members and volunteers from across the state.
The Victorian Greens State Office supports party operations and the Federal, State and Local election campaigns in the state of Victoria. We’re currently preparing for the upcoming Local Government and Federal elections. The Greens are much more than an environmental party.
While promoting meaningful and common sense solutions to ensure future generations of Australians have clean air, clean water and clean soil, the Greens are also working in many other areas to champion integrity, decency and fairness.
As well as representing constituents, The Greens speak on behalf of those who wouldn’t otherwise get much of a say inside parliament: children, refugees, students, individuals and families living in poverty and, of course, animals and our natural environment.
Core responsibilities to include (depending on time fraction)
- Secretariat support: support party administration and governance processes (including meeting coordination, information management and document preparation for some member–led administrative panels).
- Event logistics: support key party meetings and training events with venue hire, catering, promotion, meeting tech and more.
- Office space: coordinate a welcoming, organised and highly functional work space for State Office staff and volunteers.
- Volunteer program: recruit office volunteers and connect them with meaningful and enjoyable opportunities to support our work.
- Work as part of our collaborative state office team and complete other duties as directed.

Key selection criteria
- Values alignment: Commitment to the Greens policies, charter and core values: ecological sustainability, grassroots participatory democracy, social justice and peace and non-violence - and a passion for our movement.
- Outstanding organisation skills: prioritising and competing tasks under pressure, and thriving in a fast paced environment.
- Discretion and sound judgement: Commitment to confidentiality, the ability to digest chaotically presented information and organise it logically, and a sound understanding of administrative decision-making processes.
- Experience in office administration and management: or equivalent, in either a paid or volunteer capacity.
- Confident with technology: quickly develop mastery with new systems, and curious to learn new things. Experience with constituent/customer relationship management (CRM) databases would be ideal.
- Team work/relationship management skills: Experience in working in various teams, including working well with others, having a friendly attitude in difficult conversations and an openness to build the capacity of others.
- Effective communication: in print and in person, you can clearly communicate what to do, why to do it and how to do it, both one-on-one and in group settings.
Bonus points for applicants with
- Lived experience or connections to First Nations justice, racial justice, LGBTQIA+ justice, disability justice or gendered justice movements.
- Political campaigning experience: A working understanding of political or social change campaigning as a staff, volunteer or grassroots activist.
- Specific systems experience: Experience using systems such as contact databases and mass email tools, including CiviCRM, Google Workspace, Drupal (or similar).
