About the Position

The Walter and Eliza Hall Institute as the Department of Medical Biology of the University of Melbourne offers an Honours program, Masters and PhD programs.

The Scientific Education Officer will work closely with the Scientific Education Program Leader and Scientific Education Team to provide operational support Honours and Masters programs at WEHI. Within the Department of Medical Biology of the University of Melbourne, as administration coordinator for Honours and Masters by coursework subjects the role will require assisting with the planning and logistics of coursework content delivery, coursework administration and student management through Learning Management System (LMS), assistance in the writing of reports assessing cohort data and results collation, and maintaining a strong working relationship with the University of Melbourne, Medical, Dentistry and Health Sciences (MDHS) student centre, Associate Dean of Teaching and Learning, and the Examinations Office by ensuring an accurate and concise flow of information.

The Scientific Education Officer will be required to inform and guide students on relevant policies, regulations, procedures and outcomes required by the University of Melbourne, and communicate with supervisors regarding supervisor orientation and training, regulatory and schedule changes and reporting of results.

Key responsibilities

Student programs:

  • Assist with the planning and logistics associated with the delivery of the Honours and Masters by coursework program, as the administration coordinator for Honours and Masters by coursework subjects
  • Assist with the planning, logistics and delivery of graduate research student skill workshops and external stakeholder engagement as it relates to Science Education, under the direction of the Scientific Education Program Leader
  • Collect, collate and numerically assess student data, and assist in the writing of reports by following up on information and regulations as for the Scientific Education Office and the Education Committee.
  • Assist with the development of supervisor orientation and training as it pertains to student supervision
  • Assist with the screening and academic evaluation of prospective Honours and Masters by coursework students

Administrative:

  • Undertake administrative duties to support the Scientific Education Office
  • Assist in maintaining currency of website (external and internal) related to institute's Education Office.
  • Assist in the improvement, coordination, and implementation of annual Honours Orientation days.
  • Contribute to the writing of reports by following up on information and regulations as directed by the Scientific Education Specialist and the Education Committee
  • Provide high quality information, reliable advice and assistance to current and prospective students regarding University, Faculty and Department academic policies and procedures including course requirements, scholarships, enrolment management and international requirements.
  • Assist in communicating regulatory and schedule changes to Students, Head of Department, Division Heads, Supervisors, and Division Coordinators.
  • Assist in maintaining a strong working relationship with educators and professional staff in the Parkville precinct, and participate in wider academic program development and student offering meetings, working groups and committees with external and internal stakeholders by ensuring an accurate and concise flow of information

Selection Criteria

Desirable:

  • Experience in university administration, including learning management systems and coursework scheduling and delivery.
  • Applicants with a bachelor degree in science or a related discipline are highly encouraged to apply

Knowledge and skills:

  • Strong computer literacy, and proficiency using a range of software packages including Microsoft Office, such as maintaining and manipulating data in Microsoft Excel
  • Knowledge of the tertiary education sector; in particular research student training requirements
  • Ability to generate, record, analyse, interpret and report data

  • Self-motivate individual with proven ability to work independently, and on multiple initiatives concurrently
  • Excellent interpersonal, oral and written communication skills; proven aptitude for communicating effectively with a variety of audiences
  • Excellent time management, analytical and problem-solving skills
  • Confidentially, discretion, sound judgement and attention to details

Terms of Appointment

This position is a parental leave cover position available for 1 year in a full time capacity. Salary is Professional Services Employee Level 6 ($88,811 - $96,133). Up to 17% superannuation and very attractive salary packaging options are available.
