While this is a work from home position, the successful candidate must reside in the Fraser Coast.
The Organisation:
The Wide Bay Burnett Environment Council Inc is a Not-for-Profit/Non-Government environmental advocacy organisation that promotes the protection of the environment and the principles of ecological sustainability by:
- designing and implementing community education programs;
- providing expert advice to all levels of government;
- assessing potential impacts to the environment from a range of activities;
- representing environmental interests on committees, panels and working groups; and
- facilitating communication between local community/landcare/catchment care/wildlife protection groups, the Environment Council and the broader Conservation Sector across Queensland.
WBBEC is one of nine Regional Conservation Councils across the state that along with the Queensland Conservation Council, form part of a unified conservation sector in Queensland.
WBBEC is incorporated in its own right and is governed by a Management Committee currently made up of a President, Secretary and Treasurer.
The Role:
The WBBEC Administration Officer will be responsible for the overall administration/financial operation of the organisation under the direction of the WBBEC Management Committee.
Key areas of responsibility in this role include:
- Financial management, including input into the annual WBBEC budget. Creating and maintaining accurate financial records including keeping track of surplus/deficit of two grants. Preparation of quarterly financial reports. Preparation of quarterly BAS. Reporting wages/super/allowances to the ATO via the Reckon Payroll app. Creating and sending invoices/receipts. Setting up online payments;
- Logging all incoming and outgoing correspondence. Distributing relevant material to members or flagging to include in newsletter. Checking PO box at least weekly for mail;
- Assisting with creation and distribution of a newsletter;
- Maintaining accurate membership records;
- Creating and distributing meeting notices and documents for meetings. Booking halls for in-person meetings or booking online Zoom meetings. Taking minutes at meetings when the secretary is not available. Organising catering when required. Collating reports and creating the Annual Report.
- Answering and directing phone calls;
- Assist with recruitment where required including liaising with online job websites, liaising with candidates and sitting in on interviews;
Selection Criteria:
Essential:
- Prior administration experience
- Ability to work autonomously with minimal direction
- Ability to work as part of a team
- Experience in financial planning and management
- Excellent communication skills (written and verbal) and a demonstrated ability to diplomatically and respectfully communicate, and engage, with diverse groups including community groups, businesses and all levels of government
- An ability to be flexible, identify priorities and respond accordingly including at the direction of the Management Committee
Desirable:
- Administrative qualifications
- Experience in the use of Microsoft Office Tools, Zoom etc
- Experience working for Not-for-Profit environmental or natural resource management organisations
- A demonstrable basic understanding of the State and Federal environmental framework
Additional Requirements:
- WBBEC does not have an office so the successful applicant must be prepared to deliver their services remotely from home or their choice of office space (laptop, mobile phone, internet, printer and required stationery provided in addition to a payment of $160 every 4 weeks to cover rent and electricity usage)
- Must be prepared to attend meetings
- Must be prepared to separate political and cultural views from the task at hand. WBBEC is an apolitical (non-partisan) organisation that is not affiliated with any political parties or political movements/lobby/activist groups
