Unions NSW is the peak council of trade unions in NSW representing over 600,000 members and 60 affiliated unions and trades and labor councils and is part of the broader trade union movement.

Unions NSW is looking for a Full Events & Community Liaison Assistant to join our Community Outreach and Events team.

The Events and Community Liaison Assistant is responsible in providing logistically support to facilitate setting up and executing key Unions NSW events, as outlined in the Unions NSW Events Calendar. The Events and Community Liaison Assistant will also provide general secretarial and administrative support to the Unions NSW Assistant Secretary.

Responsibilities:

  • Assist with planning of key events for Unions NSW, which includes, but not limited to:
    • May Day;
    • International Day of Mourning;
    • Jeff Shaw Memorial Lecture;
    • Staff and affiliate planning days;
    • Community events such as interfaith dinners;
    • Labour Day Dinner; and
    • Union Pride.
  • Assist in developing key event planning checklists and proformas to streamline and successfully manage the event planning process.
  • Undertake the following tasks:
    • Develop and maintain a network of event subcontractors and suppliers to simplify and assist the event planning process and maintain communication with event suppliers through lifecycle of each event.
    • Assist in Event Logistics which includes creating seating charts, selecting a menu, booking a venue, finding entertainment and anything else related to coordinating an event.
    • Collaborate with other teams in Unions NSW such as Communications, and Finance to help facilitate their assistance and expertise in the event planning process.
    • Create post-event summary reports of each event using any data or feedback gathered from each event which can be used to develop and improve future events.
    • With the assistance of the Assistant Secretary, accurately manage and account for expenses in accordance with budgetary requirements.
    • Coordinate and assist with the set up and clean-up of events.
    • Coordinate event logistics including signage, greeting attendees, staff duties and transportation.
  • Carry out various administrative tasks for the Assistant Secretary.
  • Communicate and collaborate professionally with internal and external peers, stakeholders and clients to promote Unions NSW.

Essential Criteria:

  • Minimum of 5-6 years’ experience in an Administrative support or Event Support role.
  • Demonstrated advanced computer skills including Outlook, Word, Excel and PowerPoint.
  • Capacity to prioritise work, exercise judgement, initiative, while providing high level support within a highly charged environment.
  • Ability to manage conflicting demands in an environment subject to sudden change.
  • Willingness and ability to adapt to varied demands, including out of hours work, sometimes at short notice.
  • High level of interpersonal and communication skills.
  • High level organisational skills.
  • High level problem solving, decision making and delegation skills.
  • Proactive and self-directed while also working as a positive team member

Conditions and Entitlements

  • Personal Leave: 10 days per annum (accumulative)
  • Annual Leave: 5 weeks annual leave with 17.5% leave loading
  • Long Service Leave: 2 months after 10 years’ service
  • Superannuation: 9.5% employer contributions 11.5% for female staff.
  • Parental Leave: 52 weeks leave including 22 weeks paid parental leave or 3 weeks paid parental leave non-primary carer
