About the opportunity

The Salvation Army Victoria State Office provides several support functions to ensure the mission of our state is reinforced, including:

  • Leadership and Governance
  • Administration Support
  • Youth and Children’s Ministries
  • Finance

The Division is supported by several national functions including Human Resources, Officer Recruitment, Information Technology, Public Relations and Fundraising, Quality and Professional Standards, Property and Volunteers Management.

This Executive Assistant and Administration Team Leader will be responsible for providing a full range of Executive Support to the Divisional Commander and leading a small team of staff to ensure effective administration of the Division.

You will successfully

  • Provide a full range of executive support to the Divisional Commander (DC) to ensure the effective management of their schedule and workload
  • Undertake a range of executive support duties including diary management, travel, meeting support and organising, meeting set up and note-taking
  • Develop a range of reports (including committee reports), documents and presentations to support leaders and the Division
  • Taking of Minutes at key meetings attended by the DC
  • Provide Executive Support to Committees and assume responsibility as secretary
  • Provide leadership to and manage the performance of the Division Administration team
  • Divisional Leaders signing e.g. Council sponsorships, grant requests
  • Coordinate Event Management for Victorian Division activities
  • Monitor, review, distribute and follow up Complaints and Compliments
  • Responsible for site WHS requirements e.g. First Aid boxes, workstations set up
  • Support Area Officers with expense claims and travel bookings
  • Responsible for onboarding of new staff at Victoria Division Headquarters

Reporting to the Divisional Commander, this is a permanent full-time position, 38 hours per week located at Divisional Headquarters in Mitcham, Victoria.

You will have

  • Certificate III in Business Administration or equivalent (desired) or significant demonstrated equivalent relevant experience, knowledge and skills
  • Experience leading a team of administrative staff
  • A willingness to undergo a National Police Check

The Salvation Army is subject to public health orders. You may be required to provide evidence of vaccine status dependent on requirements.
