ABOUT THE ROLE

The Committee Secretary provides administrative support to the USU’s student experience committees e.g., Debates and Clubs and Societies and Working Parties, (as required). 

The Committee Secretary is responsible for upholding high standards of corporate governance by ensuring each student experience committee is operating in line with its constitution and other USU guidelines, meetings are effectively organised and minuted, and appropriate records are maintained.

The Committee Secretary is will also undertake ad hoc projects as per the Direction of the CEO, USU President and Head of Department - Student Programs.

WHAT YOU WILL DO

The primary responsibilities of this role include:  

  • To co-ordinate agenda setting, in conjunction with Committee chairs and relevant staff members and distribute agendas and previous minutes for the prospective meetings 
  • To attend and record minutes of committee meetings as per USU guidelines
  • To undertake general administrative tasks as required
  • To answer email and telephone enquiries in connection with committee activities
  • Assist in the coordination of annual events as required
  • Be familiar with procedures for C&S, Debates and other USU meetings
  • To appraise, arrange, describe, supervise and store records of the USU’s Committees and it predecessors in accordance with USU’s archival principles

ESSENTIAL CRITERIA

  • Demonstrated knowledge of the USU’s C&S and/or Debates programs
  • Excellent attention to detail
  • Excellent keyboard and typing skills
  • Excellent and professional communication and interpersonal skills
  • Excellent organisational skills
  • Ability to maintain confidentiality
  • Ability to be flexible regarding working hours to fit in with various meeting times, particularly in the evening

DESIRABLE CRITERIA

  • Experience in administration of Committees and Meetings
  • Previous minute-taking experience
  • Current University of Sydney student
  • Current USU member
  • Knowledge and understanding of universities and university unions
  • Knowledge and understanding of meeting procedures
  • Knowledge of WHS issues relevant to work activities and work area
  • Strong rapport with young people, particularly students
  • Demonstrated understanding of customer service 

HOURS OF WORK

Approximately 8 hours per month 

THE PAY

$30.72 per hour + 11% Superannuation 

START DATE

Friday, 1 March 2024
