CONTEXT
Ending homelessness is possible, because it is a shared responsibility and requires a collaborative effort across all levels of government and society to ensure we have adequate housing, appropriate health services, and support available to those who need it most.
The WA Alliance to End Homelessness has developed a 10-year strategy to end homelessness through a whole of community-based response. The Strategy outlines five core areas and nine targets to prevent, respond to and end homelessness in WA. The WAAEH is part of the Australian Alliance to End Homelessness and an international network of organisations committed to ending homelessness.
The strength of the Alliance is its collective impact approach with aligned strategies and actions shaped by large multi sector collaboration and active involvement by Alliance partners. The structure and approach of the Alliance builds on the success of sector coalitions that came together and partnered with a focus on specific homelessness issues as outlined in the Strategy.
POSITION SUMMARY
The Administration and Events Coordinator will be responsible for the day to day administration of the Alliance as well as coordinating the calendar of events to grow the Alliance out into the community.
Working as part of a small team, this role works closely with the EO and other staff to support the overall administration of the Western Australian Alliance to End Homelessness and its work to end homelessness.
The WA Alliance is auspiced by Shelter WA and operates under the Shelter WA EBA with space in the Shelter WA office.
KEY RESPONSIBILITIES
Administrative Support
- Manage the public email accounts of the organisation, including referring and directing enquiries.
- Take minutes, prepare agendas and coordination of invitations to various meetings.
- Document processes and maintain records of the organisation's activities.
- Prepare papers and briefings for project related meetings
- Provide support to the EO and other staff as required – including some calendar management.
- Coordinate travel and accommodation arrangements.
Events & Project Coordination
- Support the planning and staging of events, training, forums, and other events
- Liaise with event partners.
- Support the development of events systems for the organisation.
- Support venue booking, ticketing, catering and other activities relating to events.
Communications
- Manage database for engaging with stakeholders.
- Write and edit correspondence, governance papers and other communications materials.
- Updating of various websites and social media accounts.
Financial
- Support the WAAEH budgeting and accounting processes.
- Supporting bookkeeping and invoicing arrangements.
- Grants administration, writing and acquittals
Volunteer & Intern Management
People Management Responsibilities
- The role may involve the supervision of consultants, casual staff, volunteers, and interns who are engaged on the projects
- Ensure a safe work environment and compliance with organisational policies and legislation
SELECTION CRITERIA
Knowledge and Experience:
- Demonstrated experience in coordinating events in a busy, results driven and continuously improving environment
- Exceptional organisational skills to use initiative, coordinate concurrent activities and manage competing demands, meeting timeframes and timely reporting.
- Ability to work independently with minimal supervision and self-manage to achieve goals while being a strong team player.
- Highly developed written and verbal communication.
- Demonstrated competency in the use of various software, applications, and databases – including Microsoft Office, Google Suite and web platforms.
- Creative skills in social media management and photography.
- Some knowledge using stakeholder engagement programs such as Mailchimp and Salesforce.
- Knowledge of budgeting processes and financial reporting.
- Some experience managing volunteers will be highly regarded.
- An interest in ending homelessness and an understanding of working collaboratively.
