This is a dynamic role that is focused on supporting the CEO, Head of Fundraising and broader team to achieve their goals. You’ll provide diary and inbox support, event planning and administrative duties and be a helping hand to the team where required.

School for Life’s vision is to educate poverty out of existence. Established in 2008, School for Life is now educating over 1,700 students enrolled across 3 schools and employs over 110 locals across all its educational and related operations in Uganda. We believe in the transformative power of education to break the cycle of poverty.

Key Responsibilities

1. Executive Assistant Support

  • Provide executive support to the CEO and Head of Fundraising, including inbox and calendar management.
  • Assist in preparing meeting agendas, taking minutes, and tracking action items.
  • Assist in the preparation of reports, presentations, and other documents as required.
  • Assist with donor communications, including drafting thank-you letters and acknowledgments.
  • Anticipating the needs of the CEO and Head of Fundraising, finding ways to make their working life easier and more effective.

2. Administrative Support

  • Coordinate incoming and outgoing mail, e.g. checking the PO box.
  • Provide administrative support to the team, including ordering stationary, oversee the storage unit and managing KUMI inventory.
  • Maintain data accuracy in School for Life’s CRM (Salesforce) and ensure accurate reconciliation of fundraising income.
  • Manage domestic and international travel arrangements for all team members as required, including, booking flights, accommodation and arranging visas.
  • Support with the onboarding of new staff including setting up and training users in the various systems.
  • Support with the event logistics leading up to School for Life’s Gala Ball as directed by the Head of Fundraising.
  • Act as a representative for School for Life at networking events to prospect more support.
  • Take on ad-hoc tasks as required to support the team to achieve its goals.

3. Volunteer Management

  • Recruit, onboard, train and manage volunteers in the School for Life office.
  • Support the coordination of volunteers for the annual Gala Ball, including recruitment and working closely with the external events management company.
  • Maintain an accurate database of current volunteers and volunteer hours.

Who are we looking for?

For this role, we are looking for a self-motivated and collaborative individual with a mix of the following experience, skills, and attributes:

  • You have experience in an administration or executive assistant role at a not-for-profit or for-purpose organisation.
  • You have confident computer skills using MS Office, Google Suite and familiarity with CRM databases like Salesforce.
  • You're warm, friendly, and engaging communication style allows you to confidently communicate with others.
  • You are pro-active and take initiative. You have excellent multi-tasking, planning and organisational skills, with meticulous attention to detail.
  • And finally, you’re excited about our vision of educating poverty out of existence and would love to play a critical role in a fast-growing not-for-profit.
