The Royal College of Pathologists of Australasia (RCPA), based in Surry Hills, is the leading not-for-profit organisation representing Pathologists and Senior Scientists in Australasia. Established in 1956, our mission is to train and support pathologists and enhance the use of pathology testing to achieve better healthcare outcomes. Pathology, the study of disease causes, involves pathologists diagnosing and monitoring a wide range of illnesses. Our College members come from across Australasia including Australia, New Zealand, Hong Kong, Singapore, and Malaysia.

About the Role

The Education Systems Coordinator will be responsible for a diverse range of functions designed to support the administration, management and governance of our education systems. These systems are critical for supporting the education and assessment needs of our college trainees. The position is responsible for providing front-line support to users and ensuring the education systems are functioning effectively, accurately and are future-proofed. Additionally, the Education Systems Coordinator plays an important role in supporting strategic planning and ensuring appropriate innovation of our education systems.

Key Duties and Responsibilities

  • Manage and maintain risr/Assess, Advance, and Apply modules and other education systems.
  • Create and update system features for diverse trainee requirements.
  • Monitor system performance and troubleshoot issues.
  • Collaborate with the IT team for technical support.
  • Liaise with vendors for system updates, upgrades, change management, and relationship management.
  • Perform administrative tasks: archiving, auditing content, updating content, managing audience/user groups, testing, and quality control.
  • Gather feedback, address concerns, and escalate to vendors as needed.
  • Ensure effective communication and troubleshoot via phone, email, and Helpdesk.
  • Configure trainee portfolio forms, workflows and reports
  • Adapt and transform existing content to align with the capabilities of the education systems.
  • Documenting version control of forms, Handbooks and procedures.
  • Onboard and train new users in relevant aspects of the educations systems.
  • Create and maintain documentation, including FAQs and best practices.
  • Collaborate with other departments to fine-tune the online training strategy.
  • Any other duties as delegated by the line-manager

Selection criteria

Essential

  • Relevant tertiary qualifications and/or equivalent experience and training.
  • Experience in project management, in particular, experience with education system administration and management, ideally at an advanced level.
  • Process mapping skills to transform existing content into the education systems.
  • Demonstrated experience in developing user guides and instruction manuals.
  • Ability to liaise, collaborate and communicate effectively with internal and external stakeholders and able to communicate with a diverse audience.
  • Advanced proficiency with IT systems, including the MS Office suite, and experience in data management.
  • Proven ability to meet deadlines.
  • Proficiency in technology and platform configuration.
  • Strong understanding of processes and process improvement.
  • Documentation expertise and proven attention to detail.
  • Ability to work independently and in a self-directed manner.
  • Ability to work in a team environment.

Desirable

  • Experience in health and/or education sectors
  • Previous experience and knowledge of risr/assess, advance and apply modules and other education systems such as iMIS and CRM’s.
