THE ROLE

We are seeking an experienced project officer with demonstrated high level skills in project management and experience in the coordination of large complex collaborative projects, who has a genuine passion for equity and STEM education to join our dynamic team.

The Project Officer will work within the Widening Participation Unit under direction from the Manager, Widening Participation, and relevant Project Boards and Committees collaborating with University Faculties and other professional units to lead the implementation of the Women in STEM and Entrepreneurship (WiSE) Girls to Graduates program.

It is well recognised that girls and women are under-represented in science, technology, engineering, and mathematics (STEM) studies and careers, and that issues affecting the continued participation of girls and women in STEM begins in their formative school years, compounding throughout their entire student lifecycle. These effects are multiplied through intersectional issues for girls and women from equity backgrounds at every stage of the STEM pipeline.

Building on long-standing successful collaborations and strategically expanding on established impactful programs, the Girls to Graduates program aims to engage, encourage, enable and empower girls from Stage 1-6 and women in STEM degrees at Macquarie University.

KEY RESPONSIBILITIES

Reporting to the Manager, Widening Participation, you will:

  • Manage, monitor and track the delivery of the project to ensure all key deliverables are met and reported upon as required.
  • Produce consistent and up to date project documentation, including but not limited to project timelines and milestones, workflow processes, forms, templates, organisational charts, risk assessments, ethics documentation, progress reports, and ensure that documentation is communicated across project teams and external partners where relevant.
  • Coordinate project meetings with relevant internal and external partners, including the over-arching meeting schedule, agenda, dissemination of minutes, and tracking of actions.
  • Monitor grants and projects for legal, financial and program compliance including but not limited to ensuring grant requirements are met and all data is accurately documented.
  • Establish and maintain effective relationships with internal and external project partners.
  • Coordinate grant and financial reporting to the Commonwealth Government and relevant internal and external Project Boards and Committees.
  • Design, implement and coordinate Continuous Quality Improvement (CQI) through all programs and activities in collaboration with Widening Participation Unit and key project partners, undertaking data analysis and monitoring and evaluation as required.
  • Support project partners in the delivery of grant projects, including planning, coordination and delivery of programs and activities.
  • Work in collaboration with the WPU team and perform any other duties required and permitted by this classification under the MQ Professional Staff Enterprise Agreement 2018.
  • Comply with relevant EEO and WHS regulations.

ABOUT US

The Deputy Vice-Chancellor (Academic) (DVC-A) is the Chief Academic Officer of the University and is a member of the University Executive.

The Office of the Pro Vice-Chancellor (Education) within the DVC-A portfolio develops and drives the University’s strategy for building and enhancing entry and progression pathways and, with the Pro-Vice Chancellor Learning and Teaching, leads the ongoing improvement of academic offerings at Macquarie.

The Widening Participation Unit (WPU) within that portfolio works to meet the University’s commitment to the national widening participation agenda with the aim to improve access and increase participation in Higher Education by students from backgrounds that are traditionally underrepresented (low socio-economic status, regional and remote, Aboriginal and/or Torres Strait Islander). The WPU is funded by the Federal Government's Higher Education Participation and Partnerships Program (HEPPP).

ABOUT YOU

You have a solutions-focused attitude, excellent organisation and communication skills and thrive working in a fast-paced collaborative team environment. You have demonstrated experience in the coordination of large complex projects and management of grants. You are proactive, highly motivated and are driven to achieve excellence in the workplace.

SKILLS & EXPERIENCE

  • A degree with at least four years’ subsequent relevant experience; or extensive experience and specialist expertise; or an equivalent combination of relevant experience and/or education/training in higher education research and project management.
  • Demonstrated experience of grant management and coordination of large and complex projects, including an ability to work according to strict deadlines, to meet desired outcomes, to balance multiple projects, and to effectively communicate with internal and external stakeholders.
  • Excellent interpersonal and written communication skills, including the ability to effectively communicate with and support students from diverse backgrounds, including from low socio-economic backgrounds, Aboriginal and/or Torres Strait Islander, and from regional and remote Australia.
  • Demonstrated ability to perform complex and high-level planning, program and managerial functions with clear accountability for program performance.
  • Demonstrated ability in developing processes, policies and procedures for complex projects and programs.
  • Demonstrated excellent planning, analytical, evaluation and problem-solving skills, and the ability to take initiative and exercise sound judgement in resolving complex matters.

This position requires a paid employee Working with Children Check (WWCC).
