The Operations & Administration Officer will join our Corporate Services Team. We’re looking for someone wants to use their experience and expertise to make a difference.
The Operations & Administration Officer will provide general office support for the entire Ironbark team (around 40 staff and growing). This involves tasks related to maintenance of Ironbark systems and processes (for example, Customer Relationship Management software, Document Management Systems, website), HR, marketing and IT support, communications and office management.
We’re seeking someone who is personable and will work well in a team who have one key aim: to help councils and their communities achieve real action on climate change.
The Operations & Administration Officer will be located in Melbourne (Collingwood), with flexible working hours and conditions available. The position is 0.6 – 0.8 FTE worked over 4 or 5 days or as negotiated.
About you!

- Experience in an administration role as well as in dealing with customers/third parties in a professional manner via mail, phone and in person
- Skills in managing time, setting priorities, planning and organising your own work with guidance
- Ability to set up and maintain systems to ensure important tasks are completed on time
- Proven computer skills, including demonstrated ability to work with Microsoft environments and ability to learn new software quickly
- Well-developed communication and interpersonal skills and well-developed writing skills
- Ability to work well in a team and in a highly productive environment
- Ability to work with minimal supervision
What will you do when you join our team?
Firstly, you’ll be welcomed into the fold and we’ll bring you up to speed with the kind of work we do! Ideally, you’ll have already undertaken some research to understand how we deliver real action on climate and work with local government throughout Australia.
You will then:
- Undertake administrative tasks such as liaising with clients over the phone and via email; purchasing office supplies and other equipment; maintaining and updating contacts database and website; assisting with responding to tenders and corporate information requests from councils; with guidance, monitoring our compliance with internal policies and council requirements
- With guidance, take responsibility for our IT systems, equipment and software including Google Apps, Suite CRM, Typo3, TeamGantt, Mailchimp, Jotform and Box. This includes developing and maintaining internal process manuals for these systems, helping staff in their use and trouble shooting and out-sourcing rectification of IT issues
- With guidance, assist in marketing Ironbark’s work to clients and potential clients, including preparing and distributing our newsletter, managing our social media accounts (e.g. LinkedIn, Facebook, Twitter) and preparing content for our website
- Coordinate and arrange staff training/certification including maintaining records and databases of employee skillsets
