We are looking for an experienced EA to support a high-performing CEO in a remote support role which will require regular travel to and within Western NSW.

Our client is a new and innovative organisation, passionate about solving problems and finding creative solutions in Primary Health Care to ensure long-term sustainability in General Practices and Communities servicing Western NSW.

Role Description

This is a full-time remote role for an Executive Assistant in Western NSW. This role supports the CEO; your exceptional support will allow him to manage his time efficiently, focus appropriately and perform effectively.

The Executive Assistant will also support the board executive team with daily administrative and clerical tasks. The successful candidate will be highly organised, have excellent time management skills, and be able to multitask in a fast-paced environment. The Executive Assistant will also be expected to prioritise tasks, take minutes, and manage calendars and appointments.

You will be required to travel to regional NSW for Board and stakeholder meetings as required. You are comfortable working for a passionate, fast-paced and visionary CEO and able to navigate a complex environment with significant impact.

The CEO travels extensively in NSW and around Australia and your ability to manage his diary, meetings, stakeholder engagement, and priorities will help him deliver and support his leadership teams.

This role will ideally suit an experienced EA who loves a challenge, is comfortable in the “grey”, can be a confidante and be at peace in the storm as the CEO navigates uncharted waters.

As the organisation is in its start-up phase you need to be solutions-focused, exercise initiative and agility as well develop strong relationships with the executive team to set up systems and processes.

Responsibilities include:

  • Diary management for internal and external meetings
  • Manage incoming and outgoing communications
  • Prepare, collate and review correspondence, reports, agendas and presentations
  • Coordinate executive management meetings, including preparing and distributing papers and attendance as a minute-taker
  • Act as a referral point for enquiries
  • Build strong relationships with a diverse range of internal and external stakeholders
  • Provide executive support to other members of the CEO Office, including all Board communication and the Executive teams
  • Initiate, lead and implement projects
  • Support and lead the culture of BETTER TOGETHER
  • Organising key events as required, i.e. Christmas events/senior management dinner, development days and central office celebrations
  • Provision of secretariat support to the Company Secretary, including; Attending Board and Board Committee meetings to record minutes and accurately noting decisions and actions. Transcribe and distribute minutes of meetings promptly. Attendance at board meetings may require overnight travel to locations such as Sydney, Orange, Bathurst, Broken Hill, etc
  • Responsible for maintaining and safeguarding minute books of all Board and Board Sub Committees
  • Contribute to the good governance of the Board, including maintaining the Board Director register, annual timetable for meetings and matters scheduled for attention

Skills and Experience

  • 3-5 years experience in EA role(s)
  • Be confident and professional
  • Strong communication skills
  • Be a meticulous organiser
  • MS Office skills
