PURPOSE OF THE ROLE

We’re seeking a dynamic Governance and Executive Officer to play a pivotal role in driving good governance practices at GSA.  This full-time, ongoing position provides essential executive support to our CEO, collaborating with the GSA Board and student representatives. 

Your Impact:  As Governance and Executive Officer, you’ll:

Governance Support:

  • Interpret and apply GSA policies and regulations.
  • Proactively maintain good governance practices
  • Advise on subcommittee governance.
  • Ensure meetings align with GSA regulations.
  • Coordinate board activities and communications
  • Guide internal policy development and decision-making.
  • Organize team-building programs for student representatives.
  • Support training and development initiatives
  • Conduct surveys and policy reviews
  • Assist in managing elections.
  • Aid in strategic planning and communication
  • Facilitate seamless handovers.
  • Handle regulatory reporting and funding requirements.

Executive Support:

  • Organise meetings, prepare documents, and manage schedules.
  • Exhibit initiative in document preparation and dissemination
  • Maintain filing systems and document consistency.
  • Prepare documentation for CEO meetings.
  • Assist with correspondence and task delegation.
  • Identify and address relevant issues.
  • Manage ad hoc projects. 

KEY SELECTION CRITERIA

Essential

  • Completion of an associate diploma level qualification in relevant discipline with relevant work-related experience or a certificate level qualification with post-certificate relevant work experience.
  • Administrative and organisational skills, including the ability to meet deadlines under pressure while ensuring accuracy and quality.
  • Communication and negotiation skills, including the ability to communicate verbally and in writing in a clear and concise manner.
  • Demonstrated understanding of organisational and/or committee governance, including the ability to interpret and advise on complex rules arising from policy and procedures.
  • Proven ability to work effectively in a team and apply strong initiative and personal judgment to solving problems with minimal supervision.
  • Demonstrated interpersonal skills, including tact and diplomacy, the ability to maintain confidentiality and the ability to liaise effectively with a wide range of people on complex and sensitive issues.
  • A demonstrated commitment to the highest levels of service.

Desirable

  • Qualifications and experience in governance/communications/business administration preferred. (University of Melbourne’s graduate students who have recently finished their studies in the relevant area will be considered)
  • Demonstrated knowledge or capacity to quickly acquire skills in Microsoft suite applications, including but not limited to Word, Outlook and Excel and board reporting software such as Diligent.
  • Familiarity with the tertiary education sector
  • Understanding of governance structure of an incorporated not-for-profit organisation.
