Comm Unity Plus Services Ltd (operating as commUnity+) is a multidisciplinary organisation located in Melbourne’s western suburbs. We deliver a range of prevention and early intervention programs focused on informing and engaging with our community through high quality Adult Education, Family Support and Legal Programs, which complement community engagement and development programs, with special emphasis on disadvantaged people and vulnerable communities.

Brimbank Melton Community Legal Centre (BMCLC) is a program of Comm Unity Plus and provides free legal services, advice, referrals and community legal education. BMCLC services one of the fastest growing and most culturally diverse regions in Melbourne, with a primary office site in St Albans and various outreach services offered across the Western region.

About the position

The Administration Coordinator – Legal Program will provide day to day supervision for Brimbank Melton Community Legal Centre’s administration team by coordinating administrative projects, task allocation and managing roster. This role will also be responsible for delivering and coordinating high quality customer service, office coordination and managing client appointments in a timely manner for the Centre.

Reporting to the Manager/Principal Lawyer, this position provides systems management and administrative support to ensure that the Legal Program delivers quality services and meets all compliance requirements. The role will ensure that accurate information is shared with clients and all relevant databases are maintained correctly in a timely manner.

This position is an onsite role primarily based at the commUnity+ St Albans office, however the role may require attendance at other locations from time to time. This is a fixed term, part time position for a period of 12 months averaging 22.8 hours per week.

Key Selection Criteria

  • Certificate IV or higher qualification in a relevant discipline (e.g. office or business administration, legal or justice studies)
  • Demonstrated ability in overseeing and coordinating the administrative operations and functions preferably of a legal office/service
  • Demonstrated ability to verbally communicate effectively with a wide range of people, including staff, other professionals, a range of stakeholders and community members
  • Well-developed interpersonal and communication skills with the ability to handle sensitive communications and clients from culturally and linguistically diverse backgrounds
  • High level of professionalism, commitment and interest in working with individuals from diverse and disadvantaged communities on social justice issues
  • Demonstrated ability to provide a high standard of customer service to members of the community, clients, internal and external stakeholders and other agencies
  • Time management, planning, and organisation skills to meet deadlines and coordinate the completion of administration projects
  • Proven ability to work effectively in a team and apply initiative in solving problems with minimal supervision
  • Strong computer literacy with Microsoft software e.g. Word, Outlook, Publisher, Power Point, Access and Excel and using online meeting platforms (e.g. Teams and Zoom)
