PROGRAM BACKGROUND

The Programs Support Officer is a member of the Education and Engagement team, which is responsible for managing an increasing portfolio of programs and projects designed to benefit and improve opportunities for older Victorians.

Currently, this position’s main focus is supporting our volunteer-driven mentoring program where professional older people (mentors) are matched with unemployed people aged 50+ (mentees), to support their employment pathway and financial security. However, the role will span a variety of projects and programs across the education and engagement portfolio in accordance with COTA’s funding commitments.

POSITION OBJECTIVE

The Programs Support Officer will work closely with the Education and Engagement (EE) Manager to provide support to and deliver key aspects of existing and emerging programs and projects.

RESPONSIBILITIES

The Programs Support Officer responsibilities include:

  • Implement projects under the guidance of the EE Manager, ensuring compliance with the requirements of funding bodies and operating within budgetary and timeline constraints;
  • Arranging and conducting project meetings, including public information sessions, and meetings with internal and external stakeholders;
  • Supporting the recruitment and onboarding of program participants, including facilitation of professional development training and general employment support;
  • Supporting the matching process of mentees and mentors, and regular follow up with both parties;
  • Maintaining data records to support project monitoring, evaluation and reporting;
  • Working collaboratively with the local community, services and organisations to maximise the impact of the projects and programs;
  • Being an effective team player and promote team effort, collaboration, responsibility and high performance in fellow staff and volunteers;
  • Supporting work practices and procedures and provide support on organisational policy and procedure matters and contribute to their development;
  • Ensuring the participation of the project participants in all elements of our work;
  • Working collaboratively with other COTA Victoria staff, members of the COTA Federation, project partners and funding bodies as required.
  • Ensuring that appropriate acquittals and reports are prepared in time and accurately for the funding bodies as per contract terms
  • Any other duties that may be assigned by the Manager from time to time

KEY SELECTION CRITERIA

Professional:

  1. Relevant qualifications and/or substantial experience in community development, health, social welfare or another relevant field;
  2. Demonstrated experience in delivering training and/or program/project support;
  3. A good understanding of employment support services and/or certificate level vocational training programs, which provide an entry point to employment in the health and community services sectors;
  4. Strong MS Office skills, especially Word and Excel, and experience working with CRM databases.
  5. Excellent plain English oral and written communication skills, including report writing, training material, and marketing communication copy;
  6. Excellent interpersonal skills with the ability to liaise with program participants, volunteers, local community organisations and employers;

Personal Attributes:

  • Demonstrated experience working as a member of a small team and work collaboratively across an organisation as well as ability to work independently;
  • Understanding of ageing, ageism and issues affecting older people.
  • Commitment to human rights, civic participation and the vision, mission and values of COTA Victoria;

Desirable:

  • Certificate IV in Training and Assessment would be beneficial but not required.

SPECIFIC RESTRICTIONS / CONDITIONS

  • Must be physically capable to carry out administrative duties, involving extended periods of VDU use;
  • Employment is subject to an ongoing satisfactory police check.
  • Must by fully vaccinated for Covid-19 to carry out work activities in the community.
  • Must have current Victorian driver’s license and be accepted for insurance coverage.
