About the Role

The DES Intake / Admin Officer is responsible for intake and administration duties for a dedicated Disability Employment Services (DES) site or region and will support site staff by conducting intake inquiries, appointments and associated administrative activities, as well as program support and other administrative tasks as required.

The DES Intake / Admin Officer is the first point of contact for all participants, and potential customers and participants, for the DES program and will engage with new or potential participants either in person, over the phone or online. The DES Intake / Admin Officer will discuss and assess client eligibility for the RESP program, input and manage referrals, conduct initial appointments and assessments as required, refer new clients to the appropriate DES Employment Facilitator for ongoing support, and schedule appointments and follow up activities as required.

The DES Intake / Admin Officer also provides additional program support, site support, and administrative support as required and directed by the DES Program Manager.

Responsibilities include:

  • Be first point of contact either face to face, over phone, or online with customers or potential customers of the DES program.
  • Conduct initial intake appointments with participants, and potential participants, to assess their eligibility and suitability for the DES program, and accurately record intake data and information.
  • Refer participants onto appropriate DES Employment Facilitator or program/service for ongoing engagement and appointments.
  • Schedule participant appointment/s following intake and initial assessment.
  • Maintain and update job seeker records via online systems as required.
  • Collate information for reporting such as monthly reporting, audits, etc.
  • Assist with reception and office duties such as answering phone calls, responding to inquiries, and greeting/meeting site visitors, and assisting with general office management and duties as required.
  • Perform additional administrative tasks to support the DES program, the site and staff as required and as directed by the DES Program Manager.
  • Other duties as directed from time to time within your skills range and capacity.

Essential Criteria

  • Certificate III or higher in Office Administration or similar qualification, or willing to work towards.
  • Customer centric approach and the ability to work towards customer service standards, KPIs, and targets.
  • Excellent communication skills, including over the phone, in person and online, with the ability to build rapport quickly.
  • Excellent administrative skills, including accuracy in typing, online record keeping, and navigating software and online systems.
  • Excellent time management and organisational skills.
  • The ability to show empathy to refugee and asylum seekers, potential participants, and customers.
  • High level professionalism and ability to maintain confidentiality.
  • Strong ethics, accountability, and integrity
