ABOUT THE ROLE

The purpose of the Senior Administrative Assistant is to provide high level administrative support, including some financial administration tasks, to the Board of Directors and assist in the running and coordinating of the national day-to-day administrative duties of the Party.

  • Duration: 12 month fixed term
  • Time Commitment: 30 hours per week
  • Location: Work from home

RESPONSIBILITIES

  • Assist the Board with the development and management of all internal governance and administrative requirements to ensure the Party meets legislative requirements.
  • Assist the development and maintenance of national policies and procedures.
  • Liaise with State Committees to maintain national records and databases.
  • Organise Board meetings, coordinate Board meeting agendas and take minutes and follow up action items of Directors.
  • Manage phone calls and emails, schedule appointments and organise calendars.
  • Manage national online filing systems.
  • Create, update and maintain Party Registers, create, update and maintain documents and records.
  • Maintain and update documentation including policies and procedures, registers and other documents as directed.
  • Undertake financial administration tasks as required such as routine banking, reconciliations, stocktake etc. and liaise with fundraising and merchandise coordinators.
  • Provide reports to the Board as directed.
  • Other duties as directed by the Board.

SKILLS AND EXPERIENCE

  • Excellent communication skills - written and verbal.
  • Previous experience in a similar role with strong administration experience.
  • Excellent time management and organisational skills and ability to prioritise tasks.
  • Good attention to detail.
  • Experience developing efficient and effective internal administrative procedures.
  • Intermediate Microsoft and Google suite experience.
  • Good working knowledge of Xero, PayPal, Stripe and Nationbuilder.

DESIRABLE EXPERIENCE

  • Experience working in a membership-based organisation.
  • Experience working with, or in a political, community or advocacy organisation.
