Background Information
WynBay LLEN (Wyndham and Hobsons Bay Local Learning & Employment Network) is one of 31 LLENs across Victoria. LLENs are independent incorporated associations, each governed by a local Committee of Management, representing its members, which includes groups and organisations such as local schools, local government, Learn Local, TAFE, other education and training providers, business, industry, and community agencies. LLENs were established in 2001, to be independent brokers of partnerships to support increased transition outcomes in cohorts of young people from school to further education, training or employment.
WynBay LLEN is the broker, facilitator, and administrator of two VDSS clusters comprising 23 schools across Wyndham and Hobsons Bay. The two clusters have been in operation for over 17 years. The VDSS Support Officer is responsible for assisting the Partnership Manager in managing the VET Clusters.
Roles and responsibilities
Cluster Operations:
The VET Education Administration Officer will report to the Partnership Manager on a daily basis and engage in the day-to-day activities and operations of the VET Clusters, including:
- Daily admin duties of the VET Clusters.
- Assist school VASS Coordinators and Business Managers in support of the cluster's operations.
- Daily communications to all VET Cluster stakeholders.
- Attending Cluster meetings and taking the minutes for VET Clusters Operations Group.
- Assisting the Partnership Manager in the planning and development of new programs, products, and services to increase opportunities for young people in the Clusters.
- Supporting school-based VET Coordinators and visiting schools.
- Using the appropriate software to:
- assist the Partnership Manager and VET Coordinators with the application and enrolment process.
- assist in training all new VET Coordinators in our Student Management System ‘JobReady’
- provide all IT support to VET Coordinators, including resetting passwords.
- Assisting in Cluster activities such as orientation programs and awards nights, and ensuring they meet high standards of quality and relevance.
- Updating Cluster documentation such as the Cluster Handbooks, fees spreadsheet and assessment plans.
- Assisting in the application, enrolment, attendance and progress reports of the student management system.
- Updating and documenting procedures and processes between schools and providers.
Implementation of the VET Cluster Framework and VDSS Lifecycle:
- Assisting in the implementation of the Department’s VET Cluster framework.
- Assisting in aligning the Cluster application and enrolment processes with the VDSS lifecycle.
- Attending meetings of Cluster governance and operations groups, including:
- Writing and sending agendas and taking and distributing minutes.
- Organising the venue and catering.
Stakeholder Engagement:
- Acting as the day-to-day contact between school stakeholders.
- Responding to communications from stakeholders and team members in a timely and professional manner.
- Developing and maintaining strong relationships with the following stakeholders:
- Area-based pathways workforce
- LLEN
- All Cluster schools
- TAFE(s)
- Private RTOs that service the Cluster
- Local employers and industry.
- Identifying and developing relationships with new stakeholders that will benefit the Cluster’s objectives and goals.
Communications and Documentation:
- Assisting in Cluster communications products, including promotional and information materials, and their dissemination.
- Maintaining Cluster documentation such as Cluster operations guidelines and student handbooks.
- Providing critical information to inform reporting for VASS and all stakeholders and partnerships.
- Promoting and Marketing VET in schools.
Key Selection Criteria
Experience:
- Experience working in or with senior secondary schools or RTOs.
Knowledge:
- Understanding of the Victorian secondary school system, especially VET.
- Knowledge of the Victorian Curriculum and Assessment Authority (VCAA), Victorian Registration and Qualifications Authority (VRQA) and Victorian Skills Commissioner (VSC).
- Understanding of how RTOs and TAFEs operate and function in the provision of VDSS
- Extensive knowledge of Microsoft packages especially Word, Excel and MS Publisher or similar design packages.

- Excellent written communication skills and knowledge of email etiquette.

- Respectful of people and relationships.
