Women’s Legal Service Inc. (WLS) is a nationally recognised, leading and innovative not for profit organisation in Australia Queensland. WLS provides high quality legal and social support services to vulnerable women, specialising in the areas of family law, domestic violence, financial abuse and sexual assault through our counselling notes protect program.

ABOUT THIS ROLE

This permanent role offers full time or part time (30-38hrs/week) opportunities to the right candidate.

KEY RESPONSIBILITIES:

Provide high level secretarial and administrative support to legal staff who are undertaking client work including:

  • Assisting in managing client relationships and handling client enquiries.
  • Word processing, preparing and editing documents such as letters, file notes, court forms, briefs to counsel and other documents.
  • Managing administrative arrangements to support duty lawyer services.
  • Opening and closing files, data entry and filing.
  • Administrative tasks associated with managing hardcopy and electronic files.
  • Calendar management and rostering arrangements.
  • Management of client referrals into the service.
  • Monitoring, responding to or forwarding emails to and from the WLS administrative email address.
  • On occasions, representing WLS at stakeholder meetings.

Undertake general clerical duties including:

  • Addressing telephone enquiries and answering reception overflow calls.
  • Performing photocopying, faxing, scanning and filing tasks.
  • Performing administrative tasks associated with supporting the internal processes of the WLSQ e.g. taking meeting minutes.
  • Performing administrative tasks to support day-to-day activities of the WLS.
  • Updating WLS client databases and records.
  • Contributing to the development and maintenance of the statistical records of the WLSQ.
  • Maintaining WLS administrative systems.

Contribute to a collaborative team culture for staff and volunteers which is professional, productive and supportive and consistent with the WLS values and feminist principles.

SELECTION SKILLS AND CAPABILITIES:

  • Demonstrated experience in performing legal secretarial and administrative tasks in a busy legal office including the management of hard and electronic copies of client files, the ability to digitally transcribe, and the ability to prepare legal documentation.
  • High level of computer literacy including demonstrated experience with MS Work, MS Excel, MS Outlook, database programs and office equipment.
  • High level of attention to detail and accuracy in ensuring required processes are followed and in preparing and reviewing legal documents.
  • Well-developed and effective interpersonal and communication skills both written and oral including the ability to interact appropriately with vulnerable women from diverse backgrounds.
  • High level organisational and time management skills with the ability to prioritise work and meet deadlines.
  • Practical and applied knowledge of the family law and domestic violence matters relevant to the delivery of legal services to women an advantage.
  • Demonstrated commitment to the mission and values of the WLS and an ability to work within a feminist framework.

REMUNERATION AND BENEFITS

  • An attractive remuneration package ($67,263 - $72,124pa dependent on experience) plus statutory superannuation (10.5%).

MANDATORY REQUIREMENTS:

WLS has an exemption under the Anti-Discrimination Act 1991 that allows for the employment of women only within the organisation.

WLS also requires all staff to have at least two COVID-19 Vaccinations.

Successful applicants will be required to complete a National Police Check.
