About the role

cohealth has played a critical role in Victoria's response to COVID-19, running several community-based testing clinics and providing primary care support to social housing estates. Due to the scale and duration of this response, cohealth is now establishing a new COVID-19 Response cluster, which will be directly responsible for the delivery of COVID-19 services.

This position will provide administrative support to the COVID-19 Response cluster and report to the Director.

The Administrative Support Officer position will involve developing and managing systems to ensure that critical information is being accurately captured by our emerging services and effectively communicated to the relevant internal and external stakeholders. This role will also provide high level administrative support to the Director, COVID-19 Response.

It is important the role exercises judgement, sets priorities and schedules work to meet deadlines in a fast-paced, transformative environment.

Key duties:

  • Develop and manage systems to ensure the accurate collection of information from cohealth's COVID-19 response services and translate it into useful data for administrative and reporting purposes.
  • Draft and coordinate written communication on behalf of the Director.
  • Manage correspondence, preparing presentations and briefing reports for Director.
  • Build and maintain relationships with stakeholders.
  • Administrative support for COVID-19 coordination meetings
  • Proficient and effective management of confidential and sensitive information.
  • Complete finance (credit card reconciliations) and HR forms for Directors.

About you:

  • Relevant tertiary qualification or relevant experience
  • Well-developed written and verbal communication, and interpersonal skills
  • Ability to work effectively both in a team and autonomously
  • Capacity to work alone and respond to emergency situations as they arise
  • Advanced Microsoft Office competency, especially Excel spreadsheet development and maintenance
  • Experience developing advanced internal systems and processes
  • A self-starter who sources information needed to solve work problems.
