Wayside Chapel is seeking an Events Contractor to assist with planning and managing the event logistics of Long Walk Home.
The Events Contractor will report into the Community Fundraising Manager at Wayside Chapel.

About the role

This is an exciting 6-7 month contract role that will focus on delivering the event management and event logistics of Wayside Chapel’s Long Walk Home (LWH) event.

The scope of work and key areas include:

Event Logistics

• Develop Event Management Plan
• Develop and manage project plan to keep project on track
• Run weekly/fortnightly LWH committee meetings with key staff
• Manage and oversee all logistical and operational elements

Council Approval

• Complete application process for councils and police bodies, ensuring approvals received well advance of event

Event Budget

• Work with Community Fundraising Manager to identify relevant event logistics expenses

Course Maps

• Review existing course and make recommendations for improvements
• Update and redesign maps with any amendments

Course site visit

• Conduct risk assessment and hazard identification on course
• Conduct 2-3 in person reviews of course at the following time points:
  4 months prior, 1 month prior, 1-2 days prior

Course signage

• Develop on course signage plan and signage maps
• Liaise with printing company for design and order

Staffing & Volunteer Management

• Develop plan for key staff, volunteers and team leader roles along course
• Develop briefs for all relevant roles

Transport logistics

• Develop logistics plan for transporting supplies along course on event day
• Provide briefs for key stakeholders, volunteers and staff

Event Day Planning

• Developing event day run sheet and logistics plan
• Create and manage Risk Management Plan for event

Bump In Day & Event Day

• Work with volunteers, Wayside and sponsors to set up course signage 1-2 days prior
• Set up Start Area and organise suppliers and contractors
• Ensure pack down and bump out complies with all Council requirements

Event Day

• Event & Operations Director – manage and oversee event day operations along entire course (in conjunction with Wayside)
