Overview of the Position

The Administration Officer’s primary responsibility is to provide efficient and effective administrative and organisational support services to the CEO and Volunteering Australia team.

This is a great opportunity to work for the national peak body for volunteering. Applicants must be an Australian citizen/permanent resident or have a suitable visa that allows permanent work in Australia in order to apply for this position.

Ideally the Administration Officer will be based in Canberra, however applicants outside the Canberra region will be considered.

Hours of work: 20 hours per week.

Contract period: 12 month contract starting 1 July 2021 with opportunity to extend.

Duties:

  • Ensuring meetings are scheduled accurately including booking meeting rooms, catering, relevant travel arrangements and any other requirements.
  • Collation of relevant papers and materials and undertaking research to support meetings and activities of the organisation.
  • Attending to and monitoring urgent queries, issues and action items and ensuring they are brought to the attention of relevant staff members.
  • Assisting with the ongoing improvement of organisational efficiencies and processes including the maintenance of filing systems, databases, and procedures.
  • Developing and managing relationships with corporate suppliers to ensure the smooth operation of systems and functions within the organisation.
  • Ongoing management and maintenance of ‘external stakeholder’ databases to ensure up to date, high quality and relevant information is always accessible.
  • Keeping accurate records for all transactions related to the debit card and petty cash.
  • Assisting with the coordination and execution of National Volunteer Week.
  • Other duties as required.

Selection Criteria:

  • Well-developed administrative skills, basic financial skills, and strong computer skills including MS Office and Database applications.
  • Well-developed interpersonal, communication, organisational and problem-solving skills.
  • Ability to manage time and to prioritise tasks in order to meet deadlines while maintaining strong attention to detail.
  • Demonstrated ability to work in a team environment, with the capacity to work unsupervised.
  • Qualifications, skills and experience in business administration is not essential but highly desirable.
  • Ability to work flexible hours.
