VicHealth are recruiting to fill the position of Finance & Facilities Officer within our Corporate Services Group.

The Finance & Facilities Officer plays a highly visible role in supporting the busy Finance & Administration team in a range of duties including facilities management.

We are currently working from home. Therefore, initially this position will be performed remotely. Once government regulations allow for a return to the office, this position will be integral in supporting that transition.

What would I be doing?

  • Be the first point of contact for all facilities related queries
  • Liaise with Suppliers, trades people and contractors in the coordination of office maintenance and facilities requirements
  • Procurement and monitoring of all office supplies
  • Prepare meeting rooms for stakeholders and liaising with external stakeholders
  • Process accounts payable, accounts receivable and grant payment activities using sage accounting and finance software
  • Receptionist support duties.

The ability to use initiative, problem solve, and to work collaboratively within a strong team environment will also be primary factors that we will be looking for.

  • Tenure: Full time, Fixed Term (Until May 2021)
  • Classification: VicHealth Grade B
  • Remuneration: $60,759 pro rata (plus superannuation and other benefits)

What qualifications and experience will help me be successful?

  • Vocational training in Business Administration and/or several years work experience in an administrative role
  • Demonstrated knowledge of Salesforce and sage accounting and finance software preferred
  • Previous facilities/accounts payable experience in a fast paced environment
  • Office relocation experience would be well regarded
  • Demonstrated customer service, problem solving and time management skills
  • Strong ability to observe fine details, and identify gaps in information
  • Knowledge of MS office, Outlook
  • Well developed relationship development skills that can be used both internally and externally
  • Experience in managing and negotiating supplier contracts preferred.
