VicHealth are recruiting to fill the position of Facilities Administrator within our Corporate Services Group.

The Facilities Administrator plays a highly visible role in supporting the busy Finance & Administration team in a range of duties including facilities management, accounts payable/receivable processing, administration, and coordination of our new Victorian Health Promotion Hub.

As the first point of contact for our visitors, this position is performed from our brand new offices in Melbourne’s CBD.

The Victorian Health Promotion Hub aims to encourage meaningful collaboration between VicHealth and our community partners.
This new, modern co-working space will allow our partners in health promotion along with arts and cultural organisations, sports and recreation clubs and community groups to connect with us and each other more closely.

What would I be doing?

  • Be the first point of contact for all facilities/hub related bookings and queries
  • Liaise with Suppliers, trades people and contractors in the coordination of office maintenance and facilities requirements
  • Procurement and monitoring of all office supplies
  • Prepare meeting rooms for stakeholders and liaising with external stakeholders and hub visitors
  • Process accounts payable, accounts receivable and grant payment activities using sage accounting and finance software
  • Receptionist support duties

The ability to use initiative, problem solve, and to work collaboratively within a strong team environment will also be primary factors that we will be looking for.

  • Tenure: Full time, Fixed Term (12 months)
  • Classification: VicHealth Grade B
  • Remuneration: $61,974-64,298 (plus superannuation and other benefits)

Qualifications and Experience

  • Vocational training in Business Administration and/or experience in a finance, customer service/administrative role
  • Knowledge of various computer applications, including MS office, Outlook, Serviced Office Portals, Salesforce/CRM systems, Finance Systems preferred
  • Previous facilities/accounts payable experience in a fast paced environment
  • Demonstrated customer service, problem solving and time management skills
  • Strong ability to observe fine details, and identify gaps in information
  • Well developed relationship development skills that can be used both internally and externally
