The Victorian Aboriginal Legal Service (VALS) is an Aboriginal Community Controlled Organisation (ACCO) and the state's only specialist legal and support service dedicated to Aboriginal and Torres Strait Islander people.

Established in 1973, VALS provides culturally safe legal advice and representation across criminal, family, civil, and human rights law, youth justice, and specialist litigation.

Our broader supports include a 24/7 Custody Notification Service, transitional housing for women exiting custody, family violence programs, one‑to‑one client support, and community legal education.

About: Aboriginal Community Justice Panel

The Aboriginal Community Justice Panel (ACJP) is a statewide Aboriginal-led program supporting Aboriginal people navigating the justice system through culturally grounded advocacy, system navigation, and community-led responses.
For more than 30 years, the Aboriginal Community Justice Panel have provided critical support to Aboriginal people in police custody across Victoria.

The program operates 24 hours a day, seven days a week across 14 service areas (with the expansion of the volunteer model to 19 service areas) and has historically relied on a largely volunteer workforce to deliver timely cultural, wellbeing support, legal, and practical assistance at points of police contact.

Role Summary

The Administration Officer provides general administrative and data support to the local ACJP Site Coordinator and ACJP Workers to enable effective and compliant service delivery.

The role focuses on routine data entry, record keeping, scheduling and reporting tasks, operating under the direction and supervision of the Site Coordinator. The position requires a high level of accuracy, reliability and confidentiality, with limited independent decision-making.

The Administration Officer supports the integrity of ACJP data and reporting by ensuring call-out records, service data and administrative documentation are completed, entered and maintained in accordance with established guidelines and timeframes.

Key Responsibilities

Administrative Support

  • Provide general administrative support to the ACJP Site Coordinator, including scheduling meetings, managing calendars and preparing minutes.
  • Assist with coordination of routine meetings and administrative activities as directed.
  • Maintain orderly and accurate administrative records in line with ACJP requirements.

Data Entry & Record Management

  • Support ACJP Workers to complete call-out data sheets for every shift, ensuring required information is captured.
  • Input call-out data sheet information into the relevant data management system on a weekly basis.
  • Ensure data is entered accurately, completely and in accordance with data collection guidelines.

Reporting Support

  • Support the ACJP Site Coordinator to review service data and prepare required reports.
  • Assist in the preparation of reports for the CEO, ACJP Executive Committee and funding bodies as required.
  • Ensure reporting deadlines are met, and documentation is complete and auditable.

Coordination & Compliance

  • Work under the supervision of the Site Coordinator, following established processes and procedures.
  • Maintain confidentiality of all clients, service and workforce information.
  • Escalate data or administrative issues to the Site Coordinator as required.

About You - Essential Requirements

  • Demonstrated experience in administrative or data entry roles.
  • Strong attention to detail and accuracy in data handling and record keeping.
  • Ability to follow established procedures and work effectively under supervision.
  • Basic understanding of data systems and reporting requirements.
  • Good organisational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Understanding of, or willingness to work within, culturally safe and community-controlled service environments.

Qualifications & Mandatory Checks

  • Relevant qualifications and/or experience in administration or office support.
  • Current Employee Working with Children Check.
  • National Criminal History Check.
  • Proof of right to work in Australia.
