VACCHO is the peak representative for the health and wellbeing of Aboriginal people in Victoria and champions community control and health equality for Aboriginal communities. We are a centre of expertise, policy advice, training, innovation and leadership in Aboriginal health and wellbeing. VACCHO advocates for the health equality and optimum health of all Aboriginal people in Victoria.

The Trainee Executive Assistant will work with the Executive Assistant to the Executive Directors in supporting the four Executive Directors of VACCHO and will report to the Senior Executive Officer to the CEO.

Key responsibilities for this Trainee position is providing proactive support to the Executive Assistant to the Executive Directors and Senior Executive Officer to the CEO in their duties in diary management, meeting arrangements & coordination of travel and accommodation. Other key elements of this role with include supporting correspondence in and out of the Executive Directors Offices, schedule, arrange and prepare documentation and provide secretarial support for Executive Team.

VACCHO also fosters a team-based approach to organisational wide events such as Community Events, Internal NAIDOC Committees, forums, state-wide meetings, and in-services this role can assist on behalf of the executive and learn a lot of new skills and meet and work with a diverse range of people.

To be successful, you will need:

  • Identifies as Aboriginal and/or Torres Strait Islander.
  • Demonstrated understanding and commitment to Victorian Aboriginal culture and the concept and practice of Aboriginal community control.
  • Demonstrated ability to work with Aboriginal organisations, communities and individuals in culturally appropriate ways.
  • Desire to learn all aspects of being a Personal/Executive Assistant at Senior Management level include diary management, minute taking, document preparation, organising travel and accommodation, meetings.
  • High level organisational and time management skills including the ability to plan, juggle priorities and working to deadlines.
  • Excellent people skills including demonstrate capacity to manage a complex array of stakeholders with sensitively and diplomacy.
  • Capacity to represent the CEOs office, model behaviours in keeping with VACCHOs values and to maintain discretion and confidentiality.
  • Well-developed written communication skills including an ability to prepare quality documents, including general correspondence, reports and meeting minutes.
  • Self-motivated, and demonstrated ability to work independently with minimal supervision as well as in a team to achieve outcomes.
  • Proficiency in Microsoft Office.
