We currently have a new and exciting opportunity for a values-driven Site Administrator, located in St Kilda. This position is instrumental in ensuring that the Program Managers, Coordinators, Team Leaders and Administrators receive the highest standard of Business, Administrative and Customer support to enable the effective delivery of Access Health primary Health and Harm Reduction Services including 24hr Needle and syringe program for people who are experiencing homelessness, AOD and with complex needs across the two sites in St Kilda.

This is a full-time permanent position paid at a SCHADS Level 3.

You will successfully

  • Work in collaboration with Program Manager to ensure oversight of key accounts payable and IT business functions
  • Provide Administrative & Business Support with Accounts Payable, Fleet Car Management, Asset Management, Maintenance Management, Procurement requirements & Continuous Quality Improvement projects.
  • Assist with IT software and hardware
  • Coordinate site postal and mailing requirements
  • Ensure building and office equipment works and organise for servicing, maintenance and/or purchasing as required.
  • Order and oversee material aid, service stocking and food programs
  • Assist Program Managers and Leadership Teams with the reconciliation of accounts payable tasks including petty cash, invoice payments, Imprest Cards, client brokerage expenses, material aid vouchers and program acquittals.
  • Assist Program Managers and Leadership Teams with revenue accounting tasks including raising invoices for program re-imbursements, identifying & receipting deposits and banking requirements
  • Coordinate furnishing requirements through the provision of ergonomic assessments to aid the wellbeing of staff i.e., standing desks.
  • Conduct WHS site inspections, arrange quarterly meetings and prepare end of year files associated with supporting schedules including overseeing building security systems management, gardeners, pest control and other regular site/building activities

You will have

  • Demonstrated experience in reception/administration responsibilities
  • Well-developed interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders
  • High attention to detail with proven ability to maintain confidentiality of service users and professionally handle sensitive data and information
  • Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met
  • A high level of knowledge of administration specific skills, e.g. Word, Excel, IT, finance management, security management
  • Knowledge of health and safety responsibilities
  • A current VIC Drivers Licence
  • Valid VIC Employee Working with Children Check
  • Ability to provide proof of Eligibility to Work in Australia

Nice to have

  • Relevant Business qualification such as Certificate IV or Diploma in Business Administration (desired)
