This position at the Salvation Army Sunrise Centre is required is to provide high level of customer service as the initial contact point of the Sunrise Centre, provide reception and administrative support for the the effective operation of the Sunrise Centre.

ABOUT THE ROLE

Correspondence and Documentation

  • Accurate correspondence, documentation and presentations are prepared as requested
  • Mail is sorted, screened, processed and distributed ensuring items requiring urgent attention are appropriately flagged for immediate attention
  • Confidentiality is maintained at all times
  • Files are kept up to date and are easily retrieved when required
  • Files are archived as required

Secretarial Support

  • Incoming calls and persons presenting to the office are screened and action taken as required
  • Emails are monitored, sorted and flagged and responded to as required
  • Appointments are made as required or requested
  • Events and meetings are organised including preparing invitations, agendas and all required resources such as catering and presentation equipment
  • Meeting minutes are drafted reflecting key points of discussion, including action points, where applicable, and submitted within required timeframes
  • Matters arising from meetings are followed up as required or requested

Finance Support

  • Reimbursement requests and invoices for payment are checked (three-way match), authorised and coded
  • Data is entered into financials system ensuring payments are made on time
  • Supplier and general finance queries are responded to and actioned as required.

Property and Equipment Support

  • Contractors are organised when requested to ensure maintenance issues are addressed in a timely manner
  • Office equipment is maintained with adequate supplies available
  • Inventory registers are kept up to date
  • Appropriate records are maintained for shared organisational resources including room bookings, equipment and vehicles

General Administration

  • Data is entered into various databases as required
  • Reports are generated and provided as requested
  • Office supplies are purchased to ensure items are available as needed
  • General administration tasks are completed accurately and on time

Team Work

  • Assistance or guidance, including on-the-job training, is provided to other employees in carrying out duties, as required.

ABOUT YOU

  • Certification 111 in Business Administration or
  • Certification IV or Diploma in Business Administration
  • National Police Record Check is required
  • Current Northern Territory Drivers License
  • A Financial Check
  • Current First Aid Certificate
