The role

A truly unique opportunity to support a small team doing great things, on a large scale. A typical day does not exist, instead the role’s purpose is to see what needs doing, maintain an impeccable front of house, support in event coordination where guests feel every detail has been thought of, to responding to immediate and varied requests, providing executive assistant support to the owners and senior staff whilst assisting in the day-to-day coordination of personal requests and other business needs.

In order for this small team to make the impact they do, they need a dynamic executive assistant who brings an understated polish, a knack for knowing what is needed, phenomenal organisational skills, along with a passion for good causes, and a clear understanding of how to best support this dynamic family and business, which are one and the same.

Other key responsibilities include:

  • Organise travel itineraries and arrangements anywhere around the globe
  • Diary, email and contact management
  • Organise meetings and events
  • Background research of specific projects
  • Liaise with business associates and advisors
  • Personal errands
  • Property management and coordination of suppliers
  • Drafting and preparing correspondence, including presentations, documents, invitations, briefing papers and meeting minutes.
  • Office management and administration duties

About you

If you are the person who makes things happen seamlessly, a multi-talented EA who is equal parts event coordinator, personal assistant, problem solver, travel agent, administrator, concierge and also doesn’t mind personal shopping when required, then we’d love to hear from you!

You will thrive in a dynamic and fast-paced environment, welcome ambiguity and complexity and enjoy working with highly creative and entrepreneurial leaders. Culture is also critically important. Some skills we’d love you to have include:

  • Exceptional interpersonal and communication skills
  • Advanced computer literacy (ideally comfortable with both PC and Mac)
  • A high level of organisational and time management skills, with proven ability to multi-task, work well under pressure and prioritise tasks
  • Proactive and innovative approach with the ability to think ahead
  • Ability to work across cultures, with a wide variety of people and make them all feel welcome
  • Adaptability and resilience to cope with frequent transition between different environments and tasks

Other requirements

The work of Small Giants is not 9-5 so we need the successful candidate to be flexible and able to attend events and support the family and business interests, in an ever-changing environment. This also means having your own transport and current driver’s licence.
