The Role & Responsibilities: 

The role of Operations Manager is the face of the organisation to visiting stakeholders. They are the backbone of the organisation who enables the rest of the team to successfully maximise the impact we have on the end of hunger by achieving and exceeding their fundraising targets and KPIs. You will be instrumental in ensuring that the office, processes and systems run smoothly each day.  This is a wide-ranging role, overseeing and directly carrying out aspects of Office Management, IT, Human Resources, and CEO, Staff & Board Support.

Key Accountabilities:

Office Management: Managing the operation of the office including:

  • Be the voice and face of the organisation
  • Manage all office-based services and ensuring a smooth effective workplace that is comfortable, tidy and efficient 
  • Responsible for the purchasing of new office equipment  
  • Liaise with safety officer to ensure office setup is safe   
  • Designated first aid safety office and fire warden 
  • Responsible for liaising with building management and communicating vital information back to staff 
  • Working with management to ensure appropriate policies and procedures are in place and are kept up to date to ensure the efficient operation of THP (including for HR, IT and Governance)

IT Management: Manage all IT requirements, including:  

  • Raiser’s Edge:  working with CFO, fundraisers and staff to ensure data has integrity and to develop and refine processes on RE and the production of reports  
  • SharePoint: working with staff to ensure that all documents are stored on SharePoint in an accessible, efficient manner  
  • IT Hardware: managing the IT Contractors to source hardware and maintain it  
  • Liaise with IT suppliers and software providers to resolve any IT or network issues.

HR Support: Support the management of human resources in partnership with the relevant Manager, including:

  • Recruit new staff, including advertising available staff positions, managing incoming applicants, coordinating interviews and supporting the creation of employment contracts
  • Responsible for the recruitment and advertising of volunteers  
  • Onboard all new staff members and volunteers and provide induction systems training  
  • Organise the running of internal and external training for staff  
  • Manage the creation of annual KPI’s and the annual review process
  • Administrator for all accounts and online systems  
  • Working with the CFO to ensure appropriate insurances are in place for workers compensation and travel

Board Support: Work with the Company Secretary to support the Boards including:

  • Responsible for compiling final board papers for National Board meetings and coordinating distribution
  • Liaise with National and Development Boards about meetings and events  
  • Plan, manage and run the biennial National Conference of the Boards and staff

EA – CEO: Provide support during busy periods to the CEO including:

  • Coordinate and schedule large meetings and events on behalf of CEO 
  • Arrange domestic and international travel  
  • Assist with document development 

Staff Support: Provide support during busy periods including:

  • Support during large campaigns  
  • Project manage larger stakeholder engagement events and coordinate staff input
  • Responsible for managing volunteer capacity and available resources  
  • Ensure consistent volunteer support for staff  
  • Managing invoicing and collection of funding
  • Provide support for printing and distribution of investor reports and collateral
  • Coordination of weekly team meetings and expansive thinking sessions  
  • Plan, manage and run the annual staff offsite
  • Responsible for organising birthday celebrations, end of year celebrations and staff farewells  

The Person: 

Background & Experience 

  • 5+ years’ experience in office management, administration, and/or an operations role
  • You are self-reliant and self-managing, with an eye for detail and are able to relate to our stakeholders 
  • Excellent communication skills including friendly phone manner 
  • Experience working with customer and/or fundraising databases, ideally Raisers Edge 
  • Experience with Microsoft Office suite, including SharePoint

  • You appreciate the big-picture, but are happy to dive into the details and be the one responsible for getting things done – data entry, answering phones and emails, keeping the office space organised and well-stocked 
  • You will enjoy joining a global movement of people from all over the world playing a part in ending world hunger.
