Overview of Position:

The Administrative Support Officer is required to provide high level, professional and efficient administrative and secretarial support with minimal supervision to the Development Coordinator and wider Team of (8). This fast paced role would suit a highly organised, strong service focused individual who is efficient, has an eye for detail and enjoys managing multiple priorities, utilising sound judgement, discretion and initiative in the absence of established policy and procedures to achieve expected outcomes.

Key Responsibilities:

  • Send bulk emails i.e. newsletters or information to members, delegates and internally; save on either employer/member kudos record, on relevant ASU electronic file and onto ASU website.
  • Assist in the answering of the Membership and General lines when required.
  • Check General email inbox and forward to relevant person/area or follow up basic requests in accordance with relevant process.
  • Organise travel and accommodation for staff, members and any other person so identified. Providing the Finance office with the reconciled associated credit card expenditures.
  • Send applicable visitation notices to employer; delegate/members and relevant organiser and ensure copies are recorded on the membership data base.
  • In conjunction with the General and other Operational Administration Officers, maintain the membership data base and membership website access by updating member and employer records as required.
  • Assist in the preparation of surveys and collection of survey data, Assist in the formatting of survey data and outcomes for distribution.
  • When required assist with general filing, maintenance of office records, collation of membership kits and preparation of membership reports, tools and materials (utilising office systems) for organising activities for Delegates and the Organising Teams.
  • When required assist staff in setting up zoom meetings and teleconferences.
  • Assist when required with the preparations for Branch Executive meetings; Branch Council meetings; delegates conferences and other events. This includes designing and preparing presentations; ordering and setting up of room and catering requirements and clean down.
  • When required order promotional materials including arranging quotes for materials, placing orders; unpacking and reconciling order to delivery sheet and storing merchandise.

Selection Criteria:

  • PA experience or high level of administration support experience
  • High standard of both written and verbal communication
  • Ability to plan and schedule work
  • Working as part of a team and also independently
  • High level of computer skill in:
      • Word processing (Word)
      • Excel
      • Outlook
      • Access
      • Powerpoint
      • Survey Monkey
  • Outstanding organisational skills with a strong eye for detail
  • Ability to identify and solve problems with demonstrated sound reasoning and judgment
