About the role

Sitting within the Research Assets Division, this position plays a key role in ensuring that the administration and client services for two flagship programs of the Institute are effectively managed - Australia’s largest longitudinal study of ageing, the 45 and Up Study and SURE, a highly secure computing environment developed to help make best use of sensitive data and bring researchers from across Australia and the world to collaborate on large-scale health research projects.

Working with dedicated professionals, this is a diverse role that will be responsible for providing timely and accurate business and client services support to ensure that the 45 and Up and SURE program areas are promoted and accessible to the Institute’s clients, operate effectively and continue to grow. It would suit someone who is looking to develop their skills in project management and who is wanting to build on their current administration experience, with a particular focus on client and contracts administration.

Although no two days will be the same, responsibilities will include:

  • Helping answer questions that our researchers/clients have (related to applications, contracting, invoicing and requests for information)
  • Helping to coordinate the programs including contract management, project reports and administrative support to the team
  • Working with the team to continually review and refine processes to ensure improvements are made to the programs
  • Building and maintaining professional relationships with all internal and external stakeholders
  • Taking initiative in following up and pursuing opportunities to engage with clients
  • Maintaining up to date and accurate 45 and Up licensing, SURE registration and contract management records
  • Providing assistance and support to the Services Manager on various project and reports.

Selection Criteria

Essential

Our new Project Officer will be able to show the following skills and experience:

  • Excellent interpersonal skills, verbal and written communication skills and proven ability to work effectively with a diverse range of people including researchers, clinicians and government officers
  • Excellent customer service skills, solutions orientated with a focus on achieving positive outcomes for customers
  • Experience in contract administration and/or licensing including negotiation, variation and renewals, and fiscal management
  • Excellent verbal and written communication skills, especially the ability to communicate complex issues clearly and with influence, ensuring communication is accurate, timely and unambiguous
  • Adaptability and flexibility to handle novel and changing conditions, strong problem-solving skills and ability to utilise information from a variety of sources
  • Demonstrated experience in project management, coordination, ability to take initiative and to prioritise tasks
  • Excellent (advanced) computer skills, including MS Access and other Microsoft Office programs, databases, and office management systems
  • Demonstrated experience in working with project databases and using data including to create effective reports against established performance indicators.

Relevant tertiary qualifications and experience working in a health program or research environment would be highly regarded.
