In February - March 2023, and in addition to the annual Mardi Gras festival, Sydney WorldPride (SWP) will host a variety of events requiring a vast number of volunteers to assist us in delivering our wonderful programming. And while Sydney Gay & Lesbian Mardi Gras will still employ their Volunteer Manager, this role with Sydney WorldPride will have to work with them to ensure a unified and seamless customer-facing recruitment, training and delivery experience.

Reporting into the SWP Executive Producer, the Volunteer Manager will manage the full Sydney WorldPride volunteer program against the foundation of our Volunteering Principles of Engagement: Valuing, Strengthening, Empowering and Transcending.

Key Responsibilities:

  • Manage volunteer recruitment and scheduling for all Sydney WorldPride Program events, which include signature events and festival events (approx. 60-80 events) SWP estimates approximately 4,000 volunteers will be required across the Festival, though this is subject to change.
  • Manage all communications with volunteers ensuring it meets their needs and encourages dialogue.
  • Help develop and facilitate range of training and development opportunities for volunteers and staff, which includes event specific training and capacity building in LGBTIQ+ communities.
  • Consolidate volunteering positions and ensure the recruitment and sign-up process is simple and accessible.
  • Explore and trial new, flexible and innovative volunteer programs based on wellbeing, connection and learning.
  • Develop safety protocols and procedures, including related to COVID-19.
  • Collaborate with the SGLMG Volunteer Manager to ensure a unified and seamless customer-facing recruitment, training and delivery experience (eg it’s one recruitment campaign for all SGLMG and SWP events).
  • Actively encourage, enable and seek diversity and inclusion.
  • Attend all relevant volunteer events, many of which will be out-of-hours.
  • Assist the Partnerships Team in their efforts to secure sponsorship for the Volunteer Program.
  • Collaborate with the various Event Producers at Sydney WorldPride and the appointed event agencies to scope and fulfil pre-, post- and onsite volunteer requirements.
  • Oversee the volunteer management budget and ensure compliance with financial policies and manage the delivery of work programs against approved budgets.
  • Make decisions and act within SWP’s core values, strategic plans and priorities, legislative and regulatory frameworks, practice standards, delegations, agency policy and procedures.
  • Work closely with the COO and Executive Producer on major issues and opportunities during and in the lead up to the event.
  • Assist in the development of relevant funding applications (if required).
  • Other duties as discussed in line with expertise, experience and funding available.

Essential Requirements:

  • 5 years in a volunteer management role with significant experience on large scale international events.
  • Demonstrated relationship management skills with a proven record maintaining strong relationships across numerous stakeholder groups both internal and external.
  • Demonstrated team management expertise.
  • Ability to manage competing priorities and work well under pressure with tight deadlines.
  • Experience in developing and managing budgets.
  • Outstanding leadership, interpersonal and organisational skills.
  • Ability to work collaboratively both autonomously, and in a team capacity, showing initiative and balancing competing demands.
  • An understanding of and direct experience working with the LGBTIQ+ and First Nations communities.
  • A willingness for local/domestic travel (if applicable) and working out of hours as require.

As with most major festivals, the key accountabilities for this role may evolve during the planning process (via ongoing consultation with the Executive Producer).
