  • Hours: Part-Time: 20 hours per week. 9.30am – 3pm, Monday – Friday
  • Hours and days of work are flexible, however Mon, Tues & Thursday are preferred.
  • Primary workplace location is at The Swag HQ (Greenwich, NSW), however WFH is possible on occasion.

 POSITION SUMMARY

This role requires a person with exceptional initiative, who is structured, organised, works efficiently, and completes tasks at a high standard, underpinned with a strong work ethic. The Admin & Marketing Assistant will help manage the day-to-day inventory levels and wholesale orders of our e-commerce site (The Swag), and assist in the global marketing plan plus manage administration duties and customer service enquiries (Veggie Saver).

The ideal candidate can wear many different hats, with the understanding that not everyday is the same, with exceptional marketing, admin, and customer service skills to help drive direct customer sales throughout Australia, North America and beyond. Someone who works out the answers for themselves and who is excited to develop and document systems and processes across all areas of the business. They will often work autonomously and will need to have a very positive 'can do' attitude.

DAY TO DAY RESPONSIBILITIES 

  • Provide daily Shopify sales administration support regarding prices, stock and inventory levels for The Swag & Veggie Saver
  • Onboarding new wholesalers 
  • Invoicing new wholesalers 
  • Dispatching wholesale orders
  • Managing wholesale stock
  • Wholesale/Distributor Promotions 
  • Wholesale Event Management and In-Store Demos
  • Oversight of new wholesaler/distributor enquiries
  • Maintain a Wholesaler Onboarding Kit (WOK)
  • Maintain a Distributor Onboarding Kit (DOK)
  • Provide ongoing wholesaler sales reports
  • Manage inventory globally for The Swag and Veggie Saver (via Cin7)
  • Assist in executing our company marketing plan for both Veggie Saver and The Swag
  • Assist with incoming & outgoing marketing activities (Social Procurement, B2B, B2C, ATL, BTL)
  • Help grow our global influencer base and JV’s for Veggie Saver
  • Assist with sales/marketing communication activities e.g. social media, news releases, EDMs, database marketing, various content creations etc.
  • Assist with our PR including launches and other events as required
  • Assist with social media monitoring and content production when required
  • Assist daily with customer service enquiries for Veggie Saver globally
  • Responding to all customer service enquiries via social media
  • Assist with Incoming B2B enquiries
  • Help manage direct customer enquiries
  • Use CRM to record, follow up and administer leads from ‘enquiry’ to ‘win’ stage
  • Assist in the research and applications for business awards
  • Assist in miscellaneous administrative duties and projects as required across both Veggie Saver & The Swag
  • Overseeing SOPs in every department
  • Keep abreast of current trends (e-commerce & social media/e-marketing, sustainability)
  • Assist in training and guiding interns and other junior staff, when needed

QUALIFICATIONS, SKILLS AND EXPERIENCE        

  • Minimum Cert IV in Marketing and Communication or relevant tertiary qualification
  • 3-5+ years experience in customer facing and/or sales and marketing role in dynamic sales environment
  • Ability to wear ‘many hats’ with ease – sometimes beyond the scope of your JD 
  • Ability to work within a small team environment
  • Excellent written and verbal communication skills
  • Experience in sales and marketing of computer hardware (laptops, PC’s, tablets, notebooks highly desirable)
  • Proficiency is MS Office Suite, particularly Word and Excel
  • Strong attention to detail
  • Strong administrative skills
  • Be a natural researcher with a keen interest in keeping ahead of digital trends and advertising platforms
  • Up-to-date on all social media activities, algorithms and changes (Facebook, LinkedIn, Instagram)
  • Ability to organise and prioritise in a fast-paced environment
  • An understanding and passion for current/emerging trends relevant to our beauty conscious consumer

HIGHLY DESIRABLE HOWEVER NOT ESSENTIAL

  • Experience using Shopify 
  • Experience using inventory management software such as Cin7/Dear Systems/Trade Gecko
  • Experience using Klaviyo
  • Experience using Amazon
  • Digital product marketing and promotion experience highly desirable
  • Interest Influencer Marketing
  • Social media prowess – competent in using Facebook, Instagram, TikTok Snapchat, Pinterest & Twitter.
  • Experience in graphic design & video editing software will be highly regarded (e.g.Photoshop, Illustrator, Canva, Adobe Premier Pro, Final Cut Pro)
