Objective

To lead the sourcing and retention of international donors/sponsors, minor donors and fundraisers to support The School of St Jude in achieving the school’s vision and charity mission by delivering high quality stewardship, proactive relationship management and staff mentoring.

Key Responsibilities

Planning

In consultation with the Communications and Strategic Development Manager:

Develop the Major Donor/Sponsor and Donor Relations Stewardship Plans.

  • Develop annual workflow timeline in consultation with Manager – Communications and Strategic Development.
  • Lead the development of individual annual Communications Plans for major donors/sponsors
  • Lead the development of annual communications plans for minor donors, fundraisers and regular givers.
  • Lead the development of communications plans for thank you campaigns associated with annual appeals, roadshow tours and special event or fundraising campaigns.

Develop development, loyal and donor relations teams’ training plan.

Implementation

In consultation with the Communications and Strategic Development Manager:

Major donors/sponsors and by-effort VIPs

  • Lead the major donors/sponsors teams in providing proactive relationship management for existing major international donors/sponsors.
  • Research and identify potential donations and build networks to encourage giving by significant individuals.
  • Instruct team members in best practice engagement with major international donors and sponsors.
  • Manage the development, production and distribution of communications materials, videos and templates for all donors and major sponsors to ensure content is accurate and distribution deadlines are met.
  • Correspond with major international donors/sponsors during international fundraising appeals and campaigns.
  • Manage the production, purchasing and distribution of gifts for major donors/sponsors and event organisers.
  • Directly manage the relationships and communications with the top major donors in consultation with the Founder.
  • Work with relevant managers to apportion annual budgets into packages of activities and projects to align with major donor giving intentions.
  • Allocate unrestricted donations to appropriate packages of activities and projects in consultation with the Founder and Manager – Strategic Development.
  • Prepare funding proposals for packages and projects as approved by the Founder and Manager – Strategic Development.
  • Provide advice on the allocation of new and replacement sponsorships for major donors/sponsors.
  • Manage the review and distribution of Meet and About files for new and replacement sponsorships by major donors/sponsors.
  • Manage the distribution and recording of sponsor notifications about academic, discipline and welfare issues, and students no longer at St Jude’s in a timely and respectful manner.
  • Manage student behaviour and school spirit log to record student behaviour while working with Supporter Relations and Donor Relations teams.
  • Check monthly sponsorship renewals for major donors/sponsors and discuss distribution timelines with Accounts.

Minor donors, regular givers, fundraisers and event organisers

  • Lead the Donor Relations team in providing proactive stewardship of minor donors, regular givers, fundraisers and event organisers. 
  • Manage the development, production and distribution of communications materials for minor donors, regular givers, fundraisers and event organisers. 
  • Instruct the Donor Relations team to respond to minor donation, regular giving, fundraising and speaking queries in a timely manner with information, advice and fundraising and speakers kits/resources.
  • Ensure in-kind donations are received, registered, acknowledged and dispersed to relevant departments in accordance with approved procedures.
  • Manage the recording of all information and communications relating to bequests, life insurance policies and other endowment funds in consultation with the Founder.

Photography and videography

  • Manage the production of photographs and videos for distribution by Supporter Relations and Donor Relations teams including all work scheduling for the Supporter Relations Photographer/videographer.

Grants

  • Prepare and submit applications of major grants from international agencies.
  • Prepare and submit grant monitoring and acquittal reports to the highest standard.

Correspondence

Manage Supporter Relations and Donor Relations inbox/s to ensure inbox/s maintained in a timely, accurate, courteous and respectful manner with maximum 10 un-actioned emails on a daily basis, all emails are responded to within 48 hours, and all emails actioned by week end.

Ensure all Supporter Relations and Donor Relations emails are recorded correctly in sponsorship database and filed into outlook folders.

Qualifications, Skills & Attributes

  • Significant expertise in donor management and retention.
  • Exceptional project management and team management skills.
  • Ability to plan, implement, monitor, report and drive continuous improvement of department activities and projects.
  • Ability to prepare and monitor department budget and resources (i.e. people, money, equipment and facilities) within parameters authorised by Manager.
  • Ability to provide mentoring and training for subordinates and other colleagues.
  • Exceptional written and verbal English.
  • Ability to work collaboratively with International and Tanzanian staff to achieve the best possible outcomes.
  • Good computer skills (Microsoft Word, Excel, Outlook).
  • Experience with InDesign viewed favourably.
  • Experience in database management.
