Executive Assistant

Stile Education

Stile creates world-class resources for science teachers. Resources that help them bring their classes to life. Our resources are used by 1 in 3 Australian secondary schools. All our resources are delivered through our web-based teaching and learning platform and it’s all been built right here in Melbourne. Every single day, over 100,000 students and 8,000 teachers around the country (and increasingly around the world) use our resources.

We currently have a new and exciting opportunity for an Executive Assistant to join our team! You will be right in the middle of the action supporting our two co-founders and leaders, Danny and Byron, with everything from day-to-day admin such as travel arrangements, calendar management and meeting coordination to taking initiative, and responsibility to help improve the efficiency of the organisation more generally.

It’s a very exciting time at Stile as we’re eager to grow our impact in STEM education. This year alone, we plan on growing our team to over 60 people, expand into a different market, and pilot a new subject! As a strongly organised Executive Assistant, you will manage many competing priorities and work closely with all of our departments to ensure we are on track.

The Details

About You

  • You have at least 3 years experience in an EA capacity or similar.
  • You are based in Melbourne.
  • You are incredibly organised, efficient, and you enjoy supporting others to be the same.
  • You have good time management skills and have no problem juggling multiple projects and tasks simultaneously.
  • You have a high standard when it comes to quality and you have an exceptional eye for detail.
  • You have great written and verbal communication skills.
  • You’re confident working in a team environment and independently.
  • You’re proactive. Specifically, you love the idea of identifying inefficiencies and seeking to improve them.

How you’ll spend your time

The main purpose of this role is to take as much off Danny and Byron’s plate as possible. Eventually you will be able to anticipate their needs so that they are more productive and effective than they could possibly be on their own.

You will do this by:

  • Managing their calendars and booking meetings
  • Organising their travel
  • Taking minutes in meetings and following up the necessary action items
  • Keeping track of their mail and email
  • Any other admin assistance that may come up

Hours and location

This is a full-time, permanent role based in Melbourne, Victoria.

The role will be based out of Stile’s head office in Melbourne, with some potential for working from home.

What’s in it for you

  • Flexibility. We expect that you work hard, but you’ll have flexible hours and you’re the master of your own schedule. While initially we’ll want you to be around the office while you’re getting to know the place, there will be opportunities to work remotely later on.
  • Insight into the business. Working with the co-founders means you’ll really get the knowledge you need to succeed. You’ll understand the inner workings of Stile and what makes the business tick.
  • Colleagues worth working with. You’ll get to know a 50-strong team of educators, scientists, artists and engineers. Imagine a workplace where everyone genuinely cares about, and is working towards, improving scientific literacy amongst our young citizens. We hold ourselves, and each other, to a high standard and love what we do.
  • A fantastic office environment. We’re only just starting to use it again properly (thanks COVID), and we really missed it. It has a huge central kitchen, where the team often gathers to cook for each other - turns out we have some pretty amazing chefs, lots of places to put your feet up to work and even shower if you’ve decided to ride in.
  • Support always. Stile is its people, and it’s important we are creating an environment where you’re supported, happy and able to do your best work. We have strong management and feedback frameworks, an Employee Assistance Program, a progressive parental leave policy and much more.
  • Team bonding time. We enjoy each other's company and doing non-work stuff together from time to time. We’ve got a dedicated team within the company that put on regular events for us, from BBQs to Bubble Soccer and even an annual snow trip (snow sports optional)!
